Position Summary
We are currently seeking a detail-oriented and proactive Solar Service Administrative Assistant to support the daily operations of our Solar Division. This individual will play a vital role in streamlining administrative tasks, maintaining accurate records, and facilitating effective communication across departments. The ideal candidate will have strong organizational skills, the ability to manage multiple responsibilities, and a professional demeanor.
Key Responsibilities
Coordinate service scheduling and manage conference room bookings
Handle invoice collections and follow up with clients on outstanding payments
Maintain inventory records and reorder supplies as needed
Manage Return Merchandise Authorizations (RMAs) and customer communication
Track employee timesheets and ensure accurate data entry
Generate reports and provide data analysis as requested
Copy, mail, and file invoices and related documents
Respond to emails, voicemails, and phone calls in a professional and timely manner
Enter service tickets and follow up with customers regarding services performed
Support meeting preparation, scan documents, and complete other clerical duties
Run monthly expense reconciliations through Concur
Perform miscellaneous administrative tasks and errands as directed
Requirements
High school diploma or GED required
0–3 years of administrative experience preferred
Experience in solar, roofing, or construction industries is a plus
Valid driver’s license with an insurable driving record
Successful completion of a background check and drug screening
Bilingual in English and Spanish is a plus
Proficiency in MS Office (Word, Excel, Outlook)
Ability to multitask, stay organized, and manage time effectively
Comfortable working in a dog-friendly environment
