Position Summary
The Home Healthcare Administrative Assistant provides vital administrative and clerical support to ensure the smooth day-to-day operations of the agency. This role requires specialized knowledge of Medicaid prior authorization processes, as well as excellent organizational skills, attention to detail, and the ability to work effectively with staff, patients, and external partners.
Key Responsibilities
- Administrative & Office Support
- Manage agency correspondence, phone calls, emails, and scheduling.
- Maintain accurate and organized personnel, patient, and agency records in compliance with state and federal regulations.
- Prepare reports, letters, and documents for the Administrator and Director of Nursing.
- Assist with survey readiness by keeping compliance-related documents current and accessible.
- Medicaid Prior Authorization (PA) & Billing Support
- Prepare, submit, and track Medicaid PA requests for patient services.
- Communicate with Medicaid representatives, MCEs, and case managers regarding status of PAs.
- Ensure timely submission of required clinical documentation and follow up on pending authorizations.
- Collaborate with clinical team to ensure services are provided in compliance with approved authorizations.
- Maintain a log of PA requests, approvals, denials, and appeals for audit purposes.
- Patient & Caregiver Support
- Assist patients and families with paperwork and Medicaid-related forms as needed.
- Provide updates to patients / families regarding authorization status in collaboration with the clinical team.
- Maintain a professional, empathetic, and patient-centered approach in all communications.
- Team Collaboration & Compliance
- Support HR in coordinating staff onboarding and file maintenance.
- Participate in agency QAPI (Quality Assurance & Performance Improvement) activities.
- Ensure all confidential information is maintained in accordance with HIPAA regulations.
- Assist Administrator in implementing and monitoring office policies and procedures.
Qualifications
Education : associate degree / BSN required (preferably in Healthcare Administration, Business Administration, or related field).
Minimum of 2 years’ administrative experience in home healthcare or healthcare setting.Strong knowledge and hands-on experience with Medicaid Prior Authorization process.Familiarity with Medicaid waiver programs and managed care entities preferred.Proficiency in EMR systems and Microsoft Office Suite (Word, Excel, Outlook).Strong organizational, communication, and multitasking skills.Ability to work independently while maintaining confidentiality and compliance standards.Physical & Work Requirements
Office-based position with occasional patient / family interactions.Ability to sit, type, and perform administrative tasks for extended periods.May require occasional travel for meetings or training.Benefits
