Description

The Administrative Assistant (AA) is responsible for providing administrative support to staff and volunteers and ensuring efficient operation of the office.

The AA is also a key member of the Project Support (Marketing / Administrative) Team and is responsible for the execution and closure of specific assigned projects.

Duties and Responsibilities

  • Answer and direct incoming phone calls.
  • Maintain program / event spreadsheets and produce reports as required.
  • Attend to members and / or vendors that arrive at the office.
  • Schedule in-office gatherings and coordinate all administrative meeting logistics.
  • Maintain office supply inventory and handle ordering as needed.
  • Print materials for events and coordinate shipping as needed.
  • Collaborate with volunteers and staff regarding specific assigned projects.
  • Update and maintain internal address database.
  • Responsible for maintaining organization and general appearance of office.
  • Assist Managing Director, Associate Managing Director, and Manager of Project Support and Marketing as needed.
  • Other Duties and Responsibilities as Required.

Required Knowledge, Education or Experience

  • BA or minimum 2 years of experience in general office responsibilities and procedures.
  • Exceptional customer service skills.
  • Excellent written and verbal communication skills.
  • Computer literacy in Word, Excel, Outlook.
  • Familiar with Salesforce (helpful, but not required).
  • Ability to handle multiple projects at once.
  • Excellent organizational skills and strong attention to detail.
  • Ability to work independently, as well as in a team environment.
  • Service-oriented team player.
