Final Documents Specialist

Are you meticulous, organized, and experienced in post-closing mortgage operations? Do you take pride in ensuring the accuracy of critical financial documents and facilitating the finalization of loan sales?

We are seeking a Final Documents Specialist to manage the critical workflow of final loan documents after closing. In this role, you will be instrumental in clearing outstanding conditions, resolving document defects, and ensuring the timely delivery of necessary documents to investors, directly impacting the final purchase of our loans.

This is an in-office position located at 4201 Marsh Lane, Carrollton, TX.

This is a contract, limited-term position.

What You Will Do :

  • Manage and process post-purchase documents (e.g., Final Docs and Assignment of Mortgage - AOM) gathered from various sources : investors, email, websites, mail, and couriers.
  • Review and analyze investor and document vendor reports, accurately inputting data into our system and proactively identifying any discrepancies.
  • Research and resolve discrepancies in investor pipelines identified through escalations, aging reports, and system reporting.
  • Own a pipeline of outstanding conditions within the system of record, ensuring documents are processed and delivered to various investors according to their specific shipping requirements.
  • Assign and track document ingestion duties to the offshore team, monitoring progress and completion.
  • Communicate and follow up with title companies, attorneys' offices, and County Recorder's offices to retrieve all outstanding documentation.
  • Correct and re-record defective documents cited by investors, and prepare / review documents for initial recording.
  • Prepare loan assignments as required to meet investor stipulations.
  • Generate essential reports for leadership, including aging investor condition reports, weekly pipeline updates, and other ad-hoc needs.
  • Promptly escalate problem loans or complex conditions to minimize delays.
  • Provide top-tier customer service and accurate status updates to internal and external teams via telephone, email, and instant message.
  • Process check requests from accounting for document fees and maintain the internal transaction log.

What You Will Bring :

  • 2+ years of related experience, with specific previous experience in post-closing functions.
  • Fundamental knowledge and understanding of mortgage loan documents (e.g., recorded documents, title policies, notes).
  • Proficiency in Microsoft Excel to aid in reporting and analysis.
  • Demonstrated ability to manage a high-volume pipeline while maintaining exceptional attention to detail.
  • Strong written and verbal communication skills for interacting with external partners (title, attorneys, county offices).
