RESPONSIBILITIES :
The On-site Community Association Manager is responsible for all aspects of building / facility and staff management of a condominium community association. This position is for an onsite community located in Hallandale Beach.
Key Responsibilities :
- Daily Inspections : Conduct regular, thorough inspections of the property (buildings, common areas, amenities, and grounds) to identify maintenance needs, safety hazards, and violations.
- Vendor Management : Solicit bids and proposals from qualified vendors for maintenance, repairs, and capital projects. Oversee all contract work to ensure it is completed to standard, on time, and within budget.
- Staff Supervision : Manage all onsite staff (e.g., maintenance, front desk / concierge, cleaning crew), including scheduling, training, and performance management.
- Preventative Maintenance : Implement and manage a comprehensive preventative maintenance schedule for all major building systems (HVAC, plumbing, elevator, pool, etc.).
- Emergency Response : Serve as the primary point of contact for all property emergencies, available 24 / 7. Must be able to respond to on-site emergencies promptly and coordinate necessary services.
- Primary Contact : Serve as the main, visible point of contact for homeowners and residents. Maintain regular office hours for walk-ins and appointments.
- Communication : Respond to all resident inquiries, service requests, and complaints in a timely, professional, and courteous manner.
- Enforcement : Ensure all residents adhere to the association's Declaration, Bylaws, and Rules & Regulations. Manage the violation process, including issuing notices and coordinating hearings with the Board.
- Community Updates : Prepare and distribute regular community communications, such as newsletters, email blasts, and meeting notices.
- Budgeting : Assist the Board of Directors in the preparation of the annual operating and reserve budgets.
- Financial Oversight : Monitor adherence to the approved budget, review monthly financial statements for accuracy, and provide variance reports to the Board.
- Accounts Payable : Code and process all invoices for payment in coordination with the accounting department or management company.
- Collections : Manage the assessment collection process, including sending delinquency notices in accordance with association policy.
- Meeting Coordination : Prepare and distribute Board meeting agendas and packets. Attend all Board of Directors meetings and the Annual Meeting, and record or prepare the official minutes.
- Record Keeping : Maintain all association records, files, and documents in an organized and secure manner.
- Governing Documents : Maintain a thorough working knowledge of the association's governing documents and ensure all operations are in compliance.
- Legal Compliance : Stay informed about all relevant state statutes and local ordinances and advise the Board on compliance matters.
- Insurance : Work with the association's insurance agent to ensure all required policies are in place and claims are processed correctly.

On-site experience in a condominium setting is preferred.
Must be a Licensed Community Association Manager (LCAM)Must have the ability to maintain a professional demeanor and appearance at all timesStrong organizational skills and the ability to work in a fast-paced environment are criticalBilingual Spanish speakerEnumerate management software experience is a plus
