JOB SUMMARY / ESSENTIAL JOB FUNCTIONS : Under the direction of the Senior Associate Dean for Community Health Engagement with dual roles within the Center for Youth Advocacy and Well-Being (CYAW) and for the Office of Community Health Engagement (OCHE), the Grant Coordinator monitors, analyzes, and tracks fiscal and human resources commitments and budgets. The responsibilities includes financial management; pre-award and post-award for grants and contracts through Research Administration and Sponsored Programs, purchase orders, contract management, reconciliations of accounts and resolving any discrepancies on accounts.

DUTIES AND RESPONSIBILITIES :

• Collaborates with Principal Investigators (PI) to prepare and submit grant and contract applications to funding agencies, ensuring all forms are completed correctly, all content is included, and the application receipt deadline is met.
• Plans and prepares the budget and related financial portions of the grant / contract submission.
• Provides administrative support to faculty and staff as needed to implement grants and / or contracts. Reviews Notice of Award and coordinates with PI for needed adjustments to budget.
• Monitors and reviews expenditures, ensuring funds are spent according to the budgets.
• Processes budget revisions if needed; monitors the funds for state, federal, and private sponsored grants, contracts, and sub-awards.
• Performs account reconciliations by reviewing ledgers monthly and enters data on a spreadsheet.
• Prepares paperwork for all related subcontracts and tracks processes to ensure all are set up correctly and all billing is current.
• Completes Non-Competitive Justification Form (NCJs) for contracts and some purchase orders.
• Handles cost explanation forms for all expenses that are posted in arrears on grants; follows through for all necessary approvals.
• Assists with special projects as assigned by the Director and / or members of leadership in CYAW and OCHE.
• Processes pay funding changes.
• Other duties as assigned.

Qualifications

MINIMUM REQUIREMENTS :

EDUCATION : Bachelor’s Degree in Finance, Administration, Accounting, Management, Organizational Management or a related field. (TRANSCRIPT REQUIRED)

EXPERIENCE : One (1) year of related accounting / administrative experience; OR a combination of education and work experience to equal five (5) years.

KNOWLEDGE, SKILLS, AND ABILITIES :

WORK SCHEDULE : This position may occasionally be required to work weekends and evenings. May require occasional overnight travel.
