Job Description :
Pay Range : $33hr - $34hr
- The Administrative Assistant will be responsible for performing a wide range of administrative and clerical duties to support program operations. This includes auditing documentation, managing records, preparing correspondence, coordinating meetings, and ensuring the accuracy and quality of all deliverables.
Responsibilities :
udit forms and reports for accurate and complete documentation.Organize and maintain electronic and paper files in State database systems.Create meeting notices with internal and external attendees.ssist center staff seeking general administrative support.Perform quality reviews of letters, reports, and website pages prior to publication.Update information in Microsoft Word, PowerPoint, and Excel tracking documents.Review emails received in centralized mailboxes, responding or rerouting as appropriate.Process inquiries or requests as assigned by the ticketing system.Requirement / Must Have :
Experience working with spreadsheets, tables, or similar report documentation.Demonstrated knowledge of Microsoft Office, specifically Outlook, Word, and Excel.Familiarity with handling confidential documents containing sensitive data.Proficiency in scheduling meetings for multiple persons and executive-level staff.Strong ability to draft and send written correspondence and follow up as necessary.Preferred Qualifications :
Skilled in managing deadlines and program timelines.Familiarity with NYS-specific databases and systems such as ITSM, MS Teams, Cisco WebEx, SharePoint, Visitor Management System, and Health Commerce System.Experience working with State processes, including communications, forms, policies, and procedures.Experience managing electronic tracking systems.Demonstrated experience proofreading or preparing professional documents and correspondence.
