Role Description
RANSOM MD is seeking a compassionate, friendly, and detail-oriented Front Desk / Junior Patient Care Coordinator for our extremely busy, boutique plastic surgery practice in San Francisco's prestigious Union Square. We have significantly expanded this past year and need someone to join our team as soon as possible. Dr. Evan Ransom / RANSOM MD has offices in both San Francisco and Mill Valley. While the primary location for this role is our San Francisco office, some minimal time in the Mill Valley location may be necessary.
The Front Desk / Junior Patient Care Coordinator handles the efficient and smooth operation of the plastic surgery front office, ensuring an exceptional patient experience from the moment they contact the practice. This role involves managing administrative tasks, coordinating patient care, and supporting a positive and professional environment. The practice values every patient’s satisfaction and strives for a culture of empathy, respect, and service.
Our ideal candidate understands the importance of understanding where each patient is in their surgical journey and empathetically enjoys helping them through the process. This key team member will help patients with all aspects of scheduling, booking, and retailing products and services. Prior experience in plastic surgery, ENT, cosmetic dentistry, or dermatology is preferred.

Qualifications
Patient Welcome and Check-in :
- Greet patients warmly and professionally, with confidentiality and discretion, both in person and over the phone. Act like a concierge, helpful and understanding.
- Verify patient information, make sure health and all forms are filled out, and patient contact information is correctly entered into our patient management system.
- Ensure waiting areas are clean, comfortable, and well-maintained.
Scheduling and Appointments :
Schedule and confirm patient appointments, optimizing the daily schedule.Manage appointment cancellations and rescheduling efficiently.Send appointment reminders and follow-up communications.Able to ensure every business day is fully scheduled and appointments are confirmed.Able to manage difficult situations with grace and respect for the patient.Able to turn a negative into a positive.Patient Communication and Pipeline Management :
Answer phones, respond to emails, and address patient inquiries promptly and courteously.Provide clear and concise information on services, procedures, and practice policies.Actively manages the incoming consultation inquiries and ensures all inquiries are responded to promptly.Monitors, tracks, and reports on flow of inquiries to consultation.Function as a liaison between patients and clinical staff.Administrative Support :
Able to prioritize workflow as well as changes to the schedule.Chart management : Keep accurate patient records and ensure confidentiality. Error free work ethic. Pulls all charts for the day in order of daily schedule.Process payments, manage billing inquiries, and run nightly reports.Retail management : Order and manage office supplies, ensuring adequate stock inventory levels.Assist with general office duties as needed.Patient Care Coordination (Junior Level) :
Able to create quotes from Dr.’s consultation and review the quote along with financial obligations with the patient.Assist patients with understanding treatment plans and financial options.Schedule pre and post operative appointments.Adept at understanding the rhythm of the consultation to surgical business.Support the clinical team with administrative tasks related to patient care.Qualifications :
High school diploma or equivalent; associate or bachelor’s degree preferred.Previous experience in a medical office or customer service role is a plus.Excellent communication, organizational and people skills.Proficiency in office software (e.g., Microsoft Office Suite) and electronic health records (EHR) systems.Poised under pressure. Reliable. Ability to maintain a professional demeanor in a fast-paced environment. Able to multi-task.Empathy and a genuine desire to help patients and your co-workers. Enthusiastic about delivering great customer service.Proven ability to manage multiple projects simultaneously with minimal oversight.Always early or prompt, a dependable, professional, team member. Delivers, on time, on commitments.Occasional work on Saturdays or in our Mill Valley office.Physical Requirements :
Ability to sit or stand for extended periods. Manual dexterity to operate office equipment.Ability to lift up to fifteen pounds occasionally.
