General Description
Our Client is a leading distributor of industrial process control, pressure protection, control systems, and services in the southwest region of the US including North, East, West Texas, Oklahoma, Western Arkansas, and New Mexico.
The role serves as a vital resource supporting the seamless integration of sales and service operations within the Valve Services business unit. This role emphasizes efficiency in managing sales orders, work orders, and project lifecycles, while ensuring high levels of organization and accuracy. The position involves coordination across teams, with minimal customer interaction, focusing on administrative excellence and operational workflow optimization.
Essential Duties and Responsibilities
Administrative Support :
- Create, process, and manage work orders and sales orders using CRM systems.
- Verify the accuracy of order details and collaborate with relevant teams for completion.
- Monitor and update project and order statuses to ensure timely execution and closeout.
- Scan, file, and maintain electronic and physical records efficiently for easy access.
Team Collaboration :
Work closely with internal teams to ensure streamlined communication and efficient workflows.Assist with warehouse tasks as a secondary duty (e.g., receiving parts, palletizing valves).Complete additional duties as requested.Operational Excellence :
Represent the company professionally with a 'Team First' attitude.Prioritize tasks to meet deadlines in a fast-paced environment.Maintain up-to-date project records and report statuses to supervisors regularly.Support documentation requirements and handle additional administrative tasks as needed.Growth and Enthusiasm :

Education, Skills and / or Experience :
Basic knowledge of Supply Chain Management and Accounting principles.Knowledge of order generation and order entry procedures.Sales Associate or equivalent training in detail-oriented sales support or customer service roles.Ability to follow up with customers on order status / tracking with proven methods.Computer software skills : Windows, Microsoft Office (Outlook, Word, Excel, PowerPoint), Dynamics or other CRM platforms.SAP or similar ERP experience preferred.Ability to manage a demanding workload with a high level of organization and adhering to deadlines.Work in a team environment with an eagerness to work with others.Physical and Mental :
Ability to communicate effectively both orally and in writing in English.Work in a team environment with an eagerness to work with others.Willingness to wear Personal Protective Equipment (PPE) as required.Ability to lift up to 25lbs.While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands / fingers to operate a computer, telephone, printer, and keyboard.Ability to adhere to all safety standards, protocols, and safety meetings.Ability to work in a warehouse setting with no climate control as needed.
