The Human Services Executive Assistant plays a vital role in supporting the Human Services Director by managing scheduling, communications, and administrative operations. This position requires exceptional organizational skills, attention to detail, strong communication abilities, and a proactive, solutions-oriented mindset. By streamlining day-to-day administrative functions, the Executive Assistant enables the Director to focus on high-level leadership, strategy, and external engagement. The ideal candidate will demonstrate sound judgment, discretion, and the ability to anticipate and adapt to changing priorities. Key Qualifications ü Provide direct support to the Human Services Director in managing daily operations, ensuring alignment with strategic goals. ü Manage the Director's calendar, including scheduling meetings, appointments, speaking engagements, travel arrangements (domestic and international), and reimbursements. Prioritize requests with discretion and foresight. ü Act as the first point of contact for internal and external communications on behalf of the Director. Screen calls and visitors, respond to inquiries with professionalism and tact, and redirect matters as appropriate. ü Serve as a liaison between the Director, internal staff, Board members, stakeholders, and the public. ü Coordinate with Human Services teams and cross-functional departments to ensure effective execution of collaborative efforts. ü Track and communicate time-sensitive issues and ensure appropriate follow-up actions. ü Prepare, edit, and format high-level communications, reports, presentations, and correspondence. ü Draft routine communications and manage special projects as assigned. ü Support board and departmental meetings, including scheduling, preparing agendas, assembling materials, taking notes, and ensuring timely distribution. ü Maintain paper and digital filing systems in compliance with organizational standards and confidentiality protocols. ü Process expense reports, reconcile budgets as needed, and provide logistical support for events or projects. ü Uphold the highest levels of discretion in handling sensitive and confidential information. ü Provide backup or additional support to other departments or executive staff as needed. ü Superior time management, planning, and organizational abilities. ü Excellent verbal and written communication skills, with professional presentation. ü Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint); familiarity with virtual meeting platforms and data systems. ü Detail-oriented, with the ability to multitask and adapt in a dynamic, fast-paced environment. ü Discretion, integrity, and sound judgment in handling confidential matters. ü Strong interpersonal skills and a collaborative mindset. ü Resourcefulness and ability to work independently with minimal supervision. ü Ability to use multiple software systems.
