We are seeking a Purchasing / Billing Agent to support our growing Integrated Manufacturing department. This candidate must be detail oriented and willing to take on regular projects on an as-needed basis.

They will assist in all daily operations of the Integrated Manufacturing department and work closely with the Operations Manager.

This person must also enjoy being in an open collaborative team environment. Various data entry and clerical work as needed.

Willing to train inexperienced candidates who possess the desire to learn.

This role performs a full range of administrative duties and is responsible for providing purchasing support to our Fabrication and Integration Teams.

Responsibilities

Duties & Responsibilities : The statements below are intended to describe the general nature and scope of work being performed by this position.

  • Enter and process purchase orders including receiving requests for electrical materials and hardware, determining best suited vendor, and issuing PO numbers.
  • Analyze vendors for best price, quality and delivery and obtaining vendor approval from Project Team.
  • Work with a variety of suppliers to purchase, rent, and schedule deliveries in conjunction with Logistics Manager .
  • Entering and routing AP Invoices for approval.
  • Coordinating with Account / Project Teams on creating, updating, and submitting invoices for client billing.
  • Monthly AIA & GMP Contract Billing.
  • Assist Site Services Manager with request and tracking of travel, per diem, and housing for employees.
  • Assist with the review for Accounts Payable.
  • Assist with the review and application of appropriate tax implications to an order / project and distribute tax certificates for vendors as needed.
  • Assist with resolving AR / AP issues.
  • Be able to build relationships with customers' counterparts.
  • Be able to resolve billing discrepancies and customer issues.
  • Help manage and submit prequal information as requested by customers.
  • General office supply management (paper, batteries, keyboards, etc.) as required.
  • Vendor reconciliations at project closeout.
  • Greeting and coordination of clients / visitors with team.
  • Other duties as required.

Working Conditions

  • Mainly office but may also include all other work environments as required : sit, stand, talk, hear, use hands and fingers to operate a computer keyboard and telephone.
  • Work is generally performed in a climate-controlled office environment.
  • Primary environment : ambient room temperatures, lighting, and traditional office equipment as found in a typical office environment.
  • A considerable amount of time is spent at a desk using a computer terminal.
  • May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.
  • Can be exposed to Heavy Equipment, slippery surfaces, uneven footing on the factory floor.
  • Moderate noise (i.e. business office with computers, phone, and printers, light foot traffic).

Physical Function

  • Repeat the same mental activities.
  • Ability to operate a keyboard at efficient speed and typical business office equipment, including computer hardware.
  • Regularly required to talk and / or hear; use hands to operate objects, tools or controls (phone, computer, printer etc.

and reach with hands and arms.

  • Work performed causes fatigue of eyes, fingers and other facilities because of continuous use of motor senses.
  • Vision and hearing at or correctable to normal ranges.
  • May be occasionally be asked to lift, stoop, kneel, and / or move objects up to 25 pounds.
  • While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear and use hands.
  • Regular, predictable attendance is required.
  • Be able to work overtime / weekends when required.

Qualifications

Qualifications :

  • High school diploma or equivalent.
  • Minimum 1-3 years of general accounting experience.
  • Basic Texas Sales Tax knowledge.
  • Strong verbal and written communication skills with ability to influence behaviors.
  • Ability to work independently without direct supervision.
  • Strong organizational and interpersonal skills.
  • Strong computer skills and adept at learning new software Proficient in MS Office Suite / M365.
  • Results Driven & Detail oriented.
  • Excellent Problem-Solving Skills
  • Ability to prioritize and multi-task among various job duties.
  • Ability to interpret instructions and complete tasks as assigned.
  • Must possess a strong desire to provide excellent customer service to internal and external customers.
