About the PositionWarner Norcross + Judd is seeking a
Client Billing Coordinator to join our accounting team in Grand Rapids or remotely. This position will play a key role in the Firm's client billing function, ensuring accurate, timely, and compliant invoicing while delivering a high level of internal and external client service. This role is responsible for coordinating the day-to-day billing operations, interacting with other billing staff, resolving complex billing issues to support a smooth and predictable revenue cycle.
The ideal candidate will bring knowledge of legal billing processes, and a continuous-improvement mindset to enhance efficiency, accuracy, and client satisfaction.
About the Opportunity Responsibilities:
- Coordinate the client billing process to ensure high-quality, timely, and professional billing outcome
- Be instrumental in the full client billing cycle, including time entry review, pre-bill preparation, billing adjustments, invoice generation, write-offs, and final bill delivery
- Serve as a point of contact for attorneys on billing matters as they arise
- Ensure compliance with client-specific billing requirements, including outside counsel guidelines and electronic billing platforms
- Review and approve complex, high-volume, or high-value invoices to ensure accuracy and adherence to Firm and client standards
- Continually look for ways to improve the integrity of billing systems, client billing instructions, and related databases
- Support the firm initiatives to improve billing efficiency, reduce billing delays, and other Firm financial objectives
- Collaborate with collections and finance teams to support timely payment of invoices and healthy cash flow
- Promote a strong client service mindset within the billing team, ensuring professionalism, responsiveness, and clear communication
- Maintain awareness of technology advancements and best practices related to legal billing and invoicing, recommending enhancements where appropriate
- Manage and communicate confidential and sensitive information with discretion and professionalism

The physical demands of this position are representative of those that must be met by an employee in order to successfully perform the essential functions of the position. These include being both mobile and stationary throughout the workday, having the ability to transport 25 pounds and being able to operate a computer and other business equipment found in the office.
Competencies:
- Understanding of legal billing processes, including pre-bills, adjustments, write-offs, invoicing, and compliance with client billing guidelines.
- Problem-solving skills, with the ability to identify root causes and implement effective solutions.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Experience with legal billing systems (e.g., Elite, Aderant) and e-billing platforms.
- Strong written and verbal communication skills, with the ability to work effectively with attorneys, clients, and finance leadership.
- High attention to detail and commitment to billing accuracy and quality control.
- Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment.
- Strong judgment and discretion in handling confidential and sensitive financial information.
- Customer-service orientation with a focus on maintaining positive client and attorney relationships.
About YouExperience, Education and Training:
- Bachelor’s degree in accounting, finance, business administration, or equivalent experience in a related field.
- Minimum of two years of experience in billing or accounting, preferably in a law firm or professional services environment.
- Experience working with legal billing systems and electronic billing platforms is strongly preferred.
