Executive Assistant - Lakewood Medical Center

We're looking for someone who can confidently support executive leadership, keep things running smoothly behind the scenes, and serve as the point person for board activities, donor engagement events, and internal initiatives. This is not your average desk job. You'll interact regularly with board members, donors, physicians, and community leadersso bring your A-game in professionalism, communication, and discretion.
What You'll Do :
- Own the calendar like a bosscoordinate schedules, resolve conflicts, and keep everything running on time
- Be the gatekeeperhandle calls, emails, and visitors with grace and professionalism
- Master the meetingschedule, plan, and manage logistics from AV needs to snacks, and follow through on minutes and action items
- Prepare polished, high-level documents, presentations, and correspondence
- Coordinate complex travelevery itinerary, every detail
- Handle expenses and reimbursements like a pro, and track biweekly time reports for staff
- Keep everything in order with seamless records and file management
Project Management & Coordination :
Take the lead on all logistics for Foundation Board and committee meetings, subcommittee gatherings, and other board-related eventsPrep materials, manage RSVPs, liaise with speakers, and make it all look effortlessAttend meetings with leadership and help keep projects moving from behind the scenesPlan and execute high-touch meetings and tours with major donors, vendors, and visiting execsSupport and drive cross-functional projects and initiatives that build stronger collaboration and streamline operationsTeam Support & Special Projects :
Become a database and finance process guruready to jump in and assist where neededHelp plan and participate in major fundraising events like "For the Love of KC" and "Golf Baby Golf"Collaborate closely with departments across the organization to support various initiativesLeverage tech tools to prep and manage internal and external meetingsUse strong judgment to triage inquiries and issues from patients, staff, and visitorsProvide backup support to other UHF leaders as neededWhat You Bring to the Table (Minimum Requirements) :
Bachelor's degreeAt least 7 years of executive assistant and / or advanced administrative support experienceProven ability to manage small but complex projects with multiple playersExcellent written and verbal communication skills, and a polished, professional presenceStrong interpersonal skillsyou can easily connect with everyone from patients to board membersAbility to work independently, juggle multiple priorities, and stay calm under pressureOrganized, efficient, and highly detail-orientedTech savvy : Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook, Visio)Comfortable doing research, basic bookkeeping, and transcriptionDiscreet with sensitive information and skilled in navigating complex issues tactfullyEager to contribute to a culture of quality, safety, and inclusionWhy Join Us?
