Job description

Administrative Coordinator

We are looking for a detail-oriented and organized Administrative Coordinator to join our team on a contract basis in Germantown, Maryland. In this role, you will oversee administrative operations, manage communications, and provide vital support to the office and leadership team. This position requires a proactive individual who thrives in a collaborative environment and is committed to maintaining the smooth functioning of office and financial processes.

Responsibilities :

Oversee daily office operations, ensuring efficiency and maintaining a welcoming environment.

Manage and update the organization's website, calendar, and cloud-based storage systems.

Maintain accurate records in the church database in collaboration with the Church Clerk.

Coordinate office supplies, equipment maintenance, and vendor activities, including inspections.

Supervise and train office volunteers to ensure effective support.

Ensure compliance with Safe Church policies, including conducting background checks and monitoring offender listings.

Handle payroll processing, tax documentation, and financial contributions with confidentiality and precision.

Prepare donor statements, process vendor payments, and reconcile expense reports under the guidance of leadership.

Create and manage content for the website, social media platforms, and e-newsletters.

Assist in developing and editing worship materials and video content for digital or hybrid services.

Requirements :

Proven ability to manage multiple tasks and maintain organized paper, digital, and online records.

Strong verbal and written communication skills, including proficiency in proofreading.

A friendly and patient demeanor when interacting with visitors and volunteers.

Proficiency with Microsoft Office Suite (Word, Excel, Publisher) and online tools such as Google Drive and Breeze software.

Experience managing social media platforms and a willingness to learn new technologies.

Commitment to maintaining confidentiality and adherence to Safe Church practices.

Basic knowledge of bookkeeping and financial processes.

Familiarity with marketing, graphic design, or video editing tools is a plus.
