Collections Paralegal
Position Summary :
The Collections HOA Paralegal supports the legal team by managing all aspects of homeowner association (HOA) collection matters. This role is responsible for preparing legal documents, tracking delinquent accounts, coordinating with homeowners and attorneys, and ensuring compliance with HOA governing documents and state laws. The ideal candidate is detail-oriented, organized, and experienced in collection procedures.
Key Responsibilities :
Manage a portfolio of HOA collection accounts from initial notice through resolution.
Draft and process collection-related documents, including demand letters, payment plans, lien notices, and foreclosure referrals.
Maintain accurate records of all communications, payments, and case updates in the case management system.
Communicate professionally with homeowners, property managers, and board members regarding account status and required actions.
Coordinate with attorneys on escalated cases, hearings, and legal filings.
Review and interpret governing documents, CC&Rs, and applicable state statutes for compliance.
Prepare reports for HOA boards and property management teams regarding delinquency statuses.
Assist in negotiating and processing settlements or payment agreements.
Support the legal team with administrative tasks, document organization, and deadline tracking.
Qualifications :
5+ years of experience as a paralegal, preferably in collections, real estate, or HOA law.
Strong understanding of collection procedures and lien / foreclosure processes.
Excellent written and verbal communication skills.
Ability to manage multiple cases with accuracy and attention to detail.
Proficient with legal case management software and Microsoft Office.
Strong organizational and time-management abilities.
