Job description

Responsible for providing clerical, pipeline management, service, and sales support for all commercial real estate lending activities. Receives, evaluates, and reviews all information necessary in preparing loans for approval, closing and funding. Responsible for all commercial loan servicing and effectively manages construction projects and budgets. Communicates loan and project status to all involved parties. Provides high quality and professional service to business members and ensures that problems are promptly resolved.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

1. Provides effective clerical, sales, and service support for all commercial loan activities in addition to assuming responsibility for the management of all construction and land development projects. Performs the processing, closing, funding, and servicing responsibilities for each specific loan.

a. Assists assigned Loan Officers and Management in all pre & post loan closing activities.

b. Reviews, processes, closes and funds approved commercial loans, and coordinates with all parties to ensure transactions balance and deadlines are met.

c. Properly handles, and prepares all closing, funding, loan renewal, recast, extension, and loan modification documents. Reviews for completeness and accuracy.

d. Assists in collection and review of loan file documentation including credit memos, SBA approvals, rate locks, credit reports, financial documents, business entity searches, business entity documents, trusts, title insurance, bids, appraisals, water shares, evaluations, inspections, HOA financials, purchase contacts, lease agreements, rent rolls, builder reviews, cost breakdowns, plans, disclosures, environmental reports, flood screenings, and insurance coverages.

e. Responsible for servicing, managing, monitoring, and evaluating the commercial loan portfolio including annual loan file review and maintenance, property tax payments, insurance coverages, rate resets, SBA debentures, additional documentation requests, maturing loans, loan covenants, partial and full loan payoffs, property releases, construction and land development projects, builder lines of credit, budgets, draws, inspections, vendor tax information, lien waivers, loan disbursements, city bonds and letters of credit.

f. Responsible for preparing loan data for governmental reporting.

g. Analyzes business Corporation, Limited Liability, Partnership and Sole Proprietor entity documents, and Trust structures to ensure accuracy of loan signers meet approval requirements and department policy.

h. Responsible for performing assigned internal post close audits, and corrections. Prepares and assists with multiple annual department audits.

i. Facilitates and collaborates with the opening of business accounts, small business loans, and personal accounts to meet the needs and requests of business members.

j. Provides marketing assistance, manages commercial inbound calls, and assigns potential leads to help increase business.

k. Creates and enhances long-term business relationships with new and existing members, vendors, agents, brokers, and contractors by delivering superior service.

l. Maintenance and organization of file management lending software systems.

m. Attends Commercial Committee meetings and prepares minutes as assigned.

n. Works a regular and predictable schedule.

2. Assumes responsibility for establishing and maintaining effective and professional business relations with members, contractors, and vendors.

a. Addresses requests and questions promptly and courteously.

b. Ensures that members are appropriately informed of Credit Union loan policies and closing procedures.

c. Obtains and conveys information as needed.

d. Maintains the Credit Union's professional reputation.

3. Assumes responsibility for establishing and maintaining effective coordination and communication with area personnel and with management.

a. Supports and assists department personnel as needed.

b. Keeps management informed of area activities and of any significant problems.

c. Attends and participates in meetings as required.

d. Completes audits, audit corrections, projects, graphs, and reports as assigned.

4. Assumes responsibility for related duties as required or assigned.

a. Ensures that work area is clean, secure, and well maintained.

b. Performs related departments' functions as necessary.

c. Stays informed regarding policy and procedural changes.

d. Actively and professionally cross-sells Credit Union services.

e. Completes special projects as assigned.

PERFORMANCE MEASUREMENTS

1. Records, reports, and verifies and all related documents are accurate, current, and submitted in a timely manner. Transactions are correct and balanced daily.

2. Commercial loan processing, construction draw, and loan servicing functions are completed in accordance with established policies and procedures.

3. Good business relations exist with members, brokers, agents, and contractors. Problems and questions are courteously and promptly resolved.

5. Loan closing and funding activities are closely coordinated with related functions and departments. Loan files and closing documents are complete and comply with Credit Union requirements.

6. Files are current and well organized. Document preparation is accurate, neat, and timely.

7. Effective working relations and coordination exist with the department and Credit Union personnel. Support is provided as required. Management is properly informed.

8. Problems are closely tracked and effectively resolved.

9. The Credit Union's professional reputation is maintained and conveyed.

QUALIFICATIONS

EDUCATION / CERTIFICATION : Two-year degree or equivalent work experience required.

REQUIRED KNOWLEDGE : Knowledge of lending services, policies, and procedures.

Experience with real estate, SBA, participation, construction, and development loans.

Familiarity with loan processing, servicing, and documentation helpful.

Experience with project management.

Knowledge of Microsoft Office, including Outlook, Word, and Excel.

Knowledge of business accounts, loans, and services.

EXPERIENCE REQUIRED : Three to five years of similar or related experience, particularly in a financial environment.

SKILLS / ABILITIES : Excellent written and verbal communication skills.

Good organizational skills, accurate and attentive to detail, able to balance workload priorities.

Able to use computer related applications.

Solid analytical and problem-solving abilities.

Good math skills.

Able to analyze, process, and validate information.

Able to learn quickly, adapt to change, work under pressure, and meet deadlines.

Shows initiative and willingness to assist others.

Strong public relations abilities.

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

TALKING : Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.

AVERAGE HEARING : Able to hear average or normal conversations and receive ordinary information.

FINGER DEXTERITY : Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.

REPETITIVE MOTION : Movements frequently and regularly required using the wrists, hands, and / or fingers.

AVERAGE VISUAL ABILITIES : Average, ordinary, visual acuity necessary to prepare or inspect documents or products or operate machinery.

PHYSICAL STRENGTH : Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally. (Almost all office jobs.)

WORKING CONDITIONS

NONE : No hazardous or significantly unpleasant conditions (such as in a typical office).

MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

REASONING ABILITY : Ability to apply logical, and scientific thinking to define problems, collect data, establish facts, problem solve, draw conclusions, and carry out detailed instructions.

Able to interpret a variety of technical instructions and deal with multiple variables.

MATHEMATICS ABILITY : Ability to compute discount, interest, payments, rates, decimals to compute ratios and percents, interpret graphs and budgets. Able to perform very simple algebra.

LANGUAGE ABILITY : Ability to use passive vocabulary of 5-6,000 words; to read at a slow rate; define unfamiliar words in dictionaries for meaning, spelling, and pronunciation.

Ability to write complex sentences, using proper punctuation, and use adjectives and adverbs.

Ability to communicate in complex sentences; using normal word order with present and past tenses; using a good vocabulary.
