2+ years of experience in office management / office administrator duties

Experience with HR related roles, payroll, and accounting

Experience with customer service

Job Description :

We are seeking a dynamic Office Administrator to join our team. This critical role will support the HR department's daily operations, including full-cycle recruitment, benefits administration, record maintenance, HRIS management, employee relations, training, and payroll. Approximately 40-50% of your time will be dedicated to Payroll and Accounts Payable. We are looking for someone with strong attention to detail, excellent organizational skills, and exceptional customer service abilities.

Responsibilities include :

  • Coordinate the full cycle recruiting process, including managing job postings, scheduling phone screens, interviews, and conducting new hire orientations.
  • Manage company training files, including new hire and ongoing training. Collaborate with department managers to ensure on-the-job training is completed and documented, and update training programs and the Training Matrix for HSE & Document Control as necessary.
  • Manage front desk operations and assist customers and visitors.
  • Provide excellent customer service to employees with HR-related questions and concerns, contributing to a positive workplace environment.
  • Assist employees and guests with building access badges.
  • Coordinate all employee appreciation and engagement programs / events.
  • Create customer invoices daily, verify pricing and quantities, and promptly address any discrepancies.
  • Support the Accounting Department with billing tasks.
  • Process customer credit card orders and credit memos related to customer invoices as needed.
  • Perform ad hoc tasks as required.
  • Maintain a positive and safe working environment.

Pay and Benefits

The pay range for this position is $25.00 - $30.00 / hr.
