Job Summary
We’re seeking a driven, detail-oriented administrator who enjoys wearing many hats while contributing to the smooth operation of a creative design studio. You are proactive, resourceful, and willing to take on any task, large or small, to help projects run seamlessly. You communicate clearly, stay organised with autonomy, and take pride in your professionalism. Most importantly, you have an eye for detail and appreciate the craftsmanship and care that goes into high-end design work, which is reflected in everything the studio produces.
This role blends executive administrative support, project coordination, and studio management. You will be the perfect fit if you thrive in a space where keeping systems running effortlessly and with precision is what motivates and inspires you.
Key Responsibilities
Provide comprehensive administrative and executive support to the Principal (owner), including calendar and email management, scheduling, and correspondence.
Communicate effectively and consistently with the bookkeeper and ensure accurate financial records are maintained, particularly for Accounts Payable
Manage bi-monthly time billing using QuickBooks
Create and track purchase orders for client projects from approval through to delivery and installation.
Support project coordination; maintaining timelines, tracking orders and shipments, and ensuring all project milestones are met.
Organize and maintain the studio’s digital and physical files, design resource library, and vendor contacts.
Coordinate with vendors, showrooms, and clients in a professional and timely manner.
Handle general office management tasks to keep the studio running smoothly.
Perform data entry, documentation, and proofreading with exceptional accuracy and attention to detail.
Skills & Experience
Proven experience as an Executive Assistant, Office Administrator, or Project Coordinator.
Experience in or exposure to interior design or creative industries strongly preferred.
High proficiency in Microsoft Office Suite (especially Excel and Word), OneDrive, and Dropbox.
Solid experience with QuickBooks for bookkeeping and invoicing.
Exceptional organizational and time management skills, with the ability to manage multiple priorities at once with autonomy.
Excellent written and verbal communication skills, with a polished and professional demeanor.
A proactive, can-do attitude. You anticipate needs and take initiative before being asked.
Interior Design involves many packages, deliveries and scheduling. You may be required to lift up to 30lbs when handling deliveries.
You will need a car and a clean driving license.
