We are looking for an experienced Payroll Administrator to join our team on a contract basis in Downey, California. This role is crucial for ensuring the accuracy and compliance of payroll processes, including quarterly and year-end reconciliations, tax filings, and employee deductions. The ideal candidate will bring exceptional attention to detail and a strong ability to collaborate with district payroll teams while maintaining a high standard of professionalism.
Responsibilities :
- Conduct thorough quarterly tax reconciliations to ensure accurate reporting for federal, state, Medicare, and local taxes.
- Investigate and resolve discrepancies in payroll reports to ensure alignment between gross and net calculations.
- Review year-end adjustments and verify application accuracy across prior and current quarters, following organizational guidelines.
- Reconcile W-2 data, including taxable wages, retirement deductions, benefits, and imputed income, while addressing discrepancies before finalization.
- Prepare and validate payroll reporting data for state and federal filings, ensuring timely submission and resolving any errors.
- Collaborate with district payroll teams to review quarterly processes, close year-end adjustments, and provide training on reconciliation procedures.
- Verify compliance of payroll deductions, such as 403(b) and 457 plans, and oversee correction processes when necessary.
- Ensure proper overtime calculations based on bargaining agreements and organizational policies.
- Assist in onboarding new districts by developing scalable documentation and workflows to support payroll system expansion.
- Minimum of 5 years of experience in payroll processing and reconciliation within multi-entity or district environments.
- Proficiency in quarterly and year-end payroll balancing, W-2 reviews, and maintaining tax compliance.
- Strong knowledge of retirement deduction structures, including 403(b) and 457 plans, and relevant tax regulations.
- Experience in preparing payroll data for state and federal filings with an understanding of submission formats.
- Expertise in using payroll systems such as ADP Workforce Now to manage payroll for organizations with 101-500 employees.
- Ability to analyze complex payroll data, create detailed documentation, and provide effective training to end-users.
- Familiarity with multi-state payroll processes and compliance requirements.
- Strong attention to detail and problem-solving skills to identify and address discrepancies effectively.
