Principal Responsibility
The Finance department plans, organizes, audits, and accounts for all of the organization's financial needs, ensuring that we are good stewards of the donations received. The Payroll and Accounts Payable Specialist supports St. Anthony Foundation's mission of providing essential services and advocating for those experiencing homelessness and poverty by ensuring accurate, timely, and compliant financial and payroll operations. This position plays a key role in maintaining the integrity of payroll, accounts payable, and HR administrative functions, contributing to the smooth and effective operation of the organization. Essential Duties and Responsibilities
Payroll Administration
- Prepare and process full-cycle payroll for all employees by reviewing timesheets for accuracy, verifying hours, earnings, deductions, and wage calculations, and routing payroll reports for approval prior to submission.
- Maintain payroll records, including new hires, terminations, tax forms, benefits, direct deposit, and personnel updates.
- Manage wage garnishments, track status, notify employees, and complete required agency responses.
- Transmit 403(b) pension contributions and reconcile defined benefit pension accounts monthly.
- Ensure compliance with federal, state, and local payroll laws and filing requirements.
- Generate recurring reports including overtime usage, quarterly SUI, multi-worksite, workers' compensation audits, General ledger, and BLS statistics.
- Support year-end processes, including W-2 issuance, 1099 preparation, and assisting with annual audits and reconciliation to quarterly and annual reports.
- Provide administrative support to HR, including maintaining HRIS records, history cards, and employment files.
- Respond to payroll inquiries with professionalism, accuracy, and confidentiality.
Accounts Payable Administration
Review, verify, and enter vendor invoices and employee expense reimbursements in compliance with policy and approvals.Open, date-stamp, distribute, and process incoming invoices.Perform three-way matching of purchase orders, invoices, and receipts; research and resolve discrepancies.Prepare AP checks and process payment runs, including ACH, check, and electronic disbursements.Maintain and update the vendor database and reconcile vendor statements.Assist with month-end closing activities, including reconciliation of the AP module to the General Ledger, and maintain accurate documentation.Administer petty cash, file invoices, and mail AP checks.Manage commuter benefits inventory, distribution, and restocking.Provide audit support by generating required reports, retrieving financial documentation, and preparing supporting schedules for external audits.Teamwork

Minimum of 2-3 years of experience in payroll, accounts payable, or related accounting functions.Associate degree in Accounting, Finance, Business Administration, or related field required; Bachelor's degree preferred.Strong understanding of payroll practices, wage and hour laws, and tax regulations.Proficiency with payroll systems (e.g., ADP, Paycom, UKG, UltiPro / WorkReady) and accounting / ERP systems.High attention to detail and accuracy in all work performed.Ability to maintain confidentiality and manage sensitive information appropriately.Strong organization and time-management skills; ability to meet deadlines.Proficiency in Microsoft Excel, Word, and Windows-based applications.Effective written and verbal communication skills.Ability to work independently with minimal supervision.Ability to interact with diplomacy, professionalism, and firm boundaries.Experience with nonprofit or community-based social service agencies preferred.Experience with integrated HR / payroll or ERP systems highly desirable.Commitment to St. Anthony Foundation Statement of Values and a desire to work for a social services agency serving the poor.St. Anthony's has a diverse workforce, welcoming all ethnicities, faith backgrounds and worldviews.
