The Project Document Control Specialist supports the site project team by organizing, managing, and tracking all project documentation. This role ensures accurate document storage, compliance with client and regulatory standards, and smooth communication between the field, engineering, and client teams.
Essential Roles and Responsibilities :
Technical Acumen
- Understand and enforce document management policies and procedures. Ensure all project documents are accurately stored, categorized, coded, and easily retrievable. Monitor document workflows to ensure compliance with client review requirements and any applicable regulatory requirements or document standards.
- Address user issues and provide solutions to ensure effective utilization of the software in use. Initiate support requests (through Company IT Service Desk or software ticket process) as required to address user-identified needs.
- Regularly monitor the performance of the software in use in project execution and coordinate with the IC Manager, Project Engineering and Babcock Power IT function on implementation updates or improvements as necessary.
Project Execution
Generate reports on document management activities, system performance, and compliance metrics. Become familiar with and proficient in software tool configurations, procedures, and user manuals to assist with user support and issue troubleshooting.Participate in the development of project reporting and presentation of project metrics (KPIs or otherwise) by retrieving information from applicable software in use.In coordination with the site project team and contract requirements, establish site workhour reporting tools (spreadsheets, forms, or otherwise as directed) and ensure inputs are completed in a timely manner and with accuracy.If requested by the site project team leadership, provide administrative support for the organization of work planning documentation and control of field copies of such documentation.If required by project agreement terms, serve as the on-site point of accountability for coordination data collection / preparation and reinforcing with project team and subcontractors the expectations and requirements for apprentice program on-the-job training workhour tracking; provide guidance to apprentices on proper use of any tracking system utilized; escalate reporting issues to the TEiC training department in a timely manner should issues arise.Summarize and report apprenticeship hours to TEiC management on a weekly basis.If required by project agreement terms, division of responsibility across internal organizations, and applicable programs and laws, administratively support the gathering and reporting of material / equipment procurement domestic content information.Collaboration
Provide training and support to users on the software tools, ensuring users are proficient in their tool use.Support project change management processes and procedures by contributing to reporting and tool use of project change management information.Quality Control

Our base pay ranges are set based on the function, discipline, level and regional location and are benchmarked against companies in the same or similar industry. Final offers may vary based on multiple factors, including; education, depth and relevance of work experience, relevant licenses and certifications, and may vary from the amounts listed in the job posting. Pay range for this position is $55,000 to $60,000.
Requirements
Education and Experience :
A high school diploma or equivalent (GED).Experience utilizing InEight software (Document, Plan & Compliance modules primarily) or comparable construction project management software in a document management lead role.Practical experience utilizing Autodesk / AutoCAD and Bluebeam software tools.Multiple site-based document control assignments on larger construction projects ($25m+)Practical experience with small database management tools (Microsoft Excel, or similar) to support site workhour statistics querying, compiling, and reporting.Demonstrated proficiency with electronic document management software and tools with proven ability and experience learning new systems and quickly incorporating their use into daily tasks.Ability to communicate effectively and professionally with clients, IC project team, subcontractors, vendors, and engineers by written and verbal means.Ability to proactively diagnose and resolve technical issues in the field for software in use, documenting findings and research in a clear and concise manner. If the issue can’t be resolved in the field, have the ability to clearly document the issue and submit a request for resolution to the appropriate internal group.Ability to collaborate well with others in a team environment.Self-motivated with the ability to properly schedule and prioritize own’s work and with the ability to communicate issues, risks, and concerns to the project team associated with the project work’s schedule and priorities.Strong multitasking abilities.Benefits
