Offit Kurman, a growing full-service law firm, is currently seeking a Trusts & Estates Legal Administrative Assistant to join its Philadelphia office. This individual will provide administrative support to assigned attorneys within Philadelphia’s private client services group. This position is a great opportunity for someone who is a proactive self-starter, able to effectively manage multiple priorities, understands the importance of working as a team, and works well under pressure.
Primary Responsibilities :
- Proofreading estate planning documents and preparing them for execution. Processing signed estate planning documents.
- Handling written and electronic correspondence, including proofreading, formatting, sending materials to clients, and performing any necessary follow-up.
- Responding to non-legal questions from clients and following-up with clients on open items.
- Preparing cover letters and transmittal letters.
- Managing lawyers’ Outlook calendars, with a heavy focus on scheduling in-person and Microsoft Teams meetings.
- Maintaining and cataloging original estate planning documents, both physically and electronically.
- Attending estate planning signing meetings as a witness or notary.
- Supporting the Practice Group Leader with scheduling, projects, and team coordination.
Additional Responsibilities Include :
Performing conflict checks, opening new client matters, and drafting engagement letters.Directly communicating with clients and advisers.Obtaining tax identification numbers.Processing client intake forms, including preparing statements of assets.Preparation of transactional binders.Processing all incoming and outgoing mail for attorneys.Accounting procedures : Processing invoices, deposits of retainers / payments, check requests, and reconciliation of credit card charges.Skills and Qualifications :
Previous experience : 5+ years in law firm with direct attorney support, with preferably 3+ in trusts and estates or estate administration.Detailed Oriented : Commitment to “sweat the small stuff”, exhibit a high degree of initiative and perform at a high level of accuracy.Collaborative team player who will do what it takes to get the job done.Discretion with sensitive client information.Advanced proficiency in Microsoft Office Suite and Adobe Acrobat with the ability to quickly learn new software.Highly organized with ability to record important information and juggle multiple deadlines in a fast-paced environment.Systems : NetDocs, MS Office, Aderant / Intapp, Docusign, Actionstep, BigHandAn understanding of corporate governance is a plus.Notary License preferred – will become licensed, if not alreadyApply now for consideration.
