Compensation : Competitive starting salary $81,600 - $102,800 commensurate with skills and experience, Full Pay Range : $124,000

Our Location :

Energy Trust provides for a range of work location options, including remote, hybrid and in-office work. We are open to candidates who live throughout Oregon and Washington. This position is expected to report to the Portland office quarterly at a minimum for all staff and other in-person meetings.

Your New Team :

The Operations Team plays a vital role within the broader Energy Programs division, providing essential support for the scoping, implementation, and delivery of programs. The team manages project and payment processing across multiple programs while driving best practices and consistency for cross-program processes and operations.

This position works within the broader operations group made up of Operations Analysts, Data Specialists, Operations Specialists and Operations Coordinators. Outside of the operations group you'll work closely with stakeholders from across the organization including Program Managers, IT, Finance, Legal and Communications departments.

The Operations Coordinators are best known for being a highly cross-functional, collaborative and technical team. Leveraging a combination of technical expertise and reporting tools to ensure business systems are used in accordance with best practices and that policies and standards are followed. They are also the front line for surfacing when those standards may need to be reviewed to address changes in program designs.

What We're Looking For :

The Operations Supervisor is responsible for the day-to-day operation of the team of operations coordinators; hire, train and manage a team of existing 4 staff (with plans to hire at least 2 additional staff in early 2026), develop processes, procedures and documentation to track and improve the efficiency of day-to-day work.

The Operations Supervisor oversees the team of Operations Coordinator who acts as central communication and organization hub for program operations, working with internal and external staff to implement business processes that improve the efficiency and effectiveness of program operations.

Team duties include coordination of incentive delivery processes, forms development, records management, review and approval of project payments, review and approval of product requests, and maintenance of the program implementation manual and other essential documentation.

The Operations Supervisor will also provide operational support in the scoping, development and delivery of new initiatives, training for trade allies and program support staff.

This individual reports to the Program Operations Lead.

What You'll Do :

Lead and supervise the functional team of Operations Coordinators, and collaborate with external staff, and PMC (Program Management Contractor) representatives to maintain and enhance critical program, payment, and organizational systems.

Manage day-to-day program operations and ensure staff are properly trained and supported, process documentation is up to date and readily available, and that the team is cross trained to ensure redundancies

Develop and maintain a deep understanding of the relevant business processes and how they relate to the organization's strategic operations

Provide support and coaching to team members ensuring they have the information needed to effectively and efficiently deliver programs in a consistent and integrated manner.

Maintain strong relationships with key stakeholders in other departments

Collaborate with managers and staff to ensure there are adequate operational resources to meet the needs of the programs

Provide guidance to the team on the resolution of issues, collaboratively solve intricate problems, recommend solutions and generally act as a subject matter expert in a variety of issues related to program operations and the processing of incentive payments

Lead efforts within the team to develop and maintain a library of process documentation and operational best practices.

Direct the team on the implementation of new processes and enhancements to existing processes.

Provide oversight, tracking, and visibility of staff capacity, key team initiatives, payment process improvement projects, and special tasks.

Document, train and provide guidance to internal and external staff on organizational standards, program procedures and the use of Energy Trust systems.

Ensure all team responsibilities are completed accurately and on time, ensuring compliance with finance audit rules and operational best practices.

As a power user of systems, inform and coordinate with Operations Specialist, Operations Analysts, Program and IT staff on program software needs and enhancement requests.
