We are looking for a highly organized and detail-oriented Senior Executive Assistant to join our team in New Orleans, Louisiana. This short-term contract to permanent position offers the opportunity to work closely with executives, manage complex schedules, and ensure seamless communication and operations. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent problem-solving skills, and have a strong ability to prioritize tasks effectively.
Responsibilities :
- Manage executive calendars, including scheduling appointments, meetings, and events, while ensuring time management efficiency.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation for executives.
- Prepare and compose clear and accurate business correspondence and reports.
- Organize and facilitate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle customer service inquiries and resolve issues promptly and professionally.
- Collaborate with team members to ensure smooth communication and project execution.
- Maintain and update records, files, and databases, ensuring confidentiality and accuracy.
- Conduct ad-hoc analyses and provide insights to support decision-making processes.
- Monitor and track progress on key performance indicators, providing regular updates to stakeholders.
- Train and mentor new team members to ensure alignment with company standards and practices.
- Minimum of two years of experience in an administrative or executive assistant role, preferably in finance, accounting, real estate, or healthcare.
- Proven experience in accounts receivable or accounts payable processes.
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Strong ability to create and manage spreadsheets, perform calculations, and analyze data using Excel.
- Excellent verbal and written communication skills, with the ability to compose clear and effective correspondence.
- Self-motivated and proactive, capable of working independently after an initial training period.
- Critical thinking skills to identify patterns, analyze information, and develop solutions.
- Demonstrated ability to manage multiple priorities and adapt to changing demands in a dynamic work environment.
