Orthoindy Northwest Workers Compensation Representative
The Workers Compensation Representative supports and works with the worker's compensation community. The Representative is responsible for handling phone calls, tasking and messages in the electronic medical record on queue lines, schedules clinic appointments, and obtains insurance authorizations for office visits, MRI's injections, and surgeries. The position maintains work comp clinic schedule for all Physicians, which includes scheduling patient appointments and reschedules when necessary, following Physician scheduling protocols and organizes add-ons and cancelled clinic appointments.
Essential Duties :
- Handles tasking and messages in the EMR on various queue lines, schedules clinic appointments, and obtains insurance authorizations. Completes fax referrals and appointment request to ensure timely scheduling. Answers queue line, schedules appointment, answer questions and address concerns as needed. Responds to customer messages promptly by gathering information for providers and answering voice messages.
- Maintains work comp clinic schedules for all OrthoIndy physicians, which includes scheduling patient appointments and reschedules, based on physician protocols. Responsible for appointment recall management. Organizes add-ons and cancelled clinic appointments. Communications with clinic management to ensure coordination of clinic space and staff. Communicates with providers to identify opportunities to maximize schedule productivity. Responsible for appointment recall management per established protocol.
- Ensures appointment note lines include detailed information about previous treatment, including : previous surgery, MRI, labs, physical therapy, nurse case manager on site, etc.. Manages and monitors new patient forms using practice management program. Responsible for gathering complete and appropriate medical information to assist the medical staff and eliminate unnecessary return calls on the part of the medical staff.
- Manages a significant amount of inbound email from referral sources related to new patient referrals, queries, confirmations, and medical records. Prioritizes duties based on referral sources and protocol. Manages referral source files based on each source's specific workflow.
- Electronically shares medical files through encrypted communication per preference of work comp referral source.
- Obtains all work comp authorizations for clinic appointments, injections, MRI, and surgery. Documents authorization details in practice management program. Focusing on timely response times in order to expedite patient care.
- Acts as a liaison between Workers Compensation, Case Managers, adjustors, employers and Physicians for any questions.
- Scans and distributes patient records for new workers compensation appointments, functional capacity evaluations, or as otherwise indicated.
- Faxes work statuses for all workers compensation patients using the appropriate systems as needed. Faxes office dictation and notes for all workers compensation patients. Sends requests to the Physicians for those items not committed with an urgent request to commit the office notes.
Requirements :
