Responsibilities :
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and direct incoming calls promptly and efficiently.
- Manage the reception area, ensuring cleanliness and organization.
- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain office security by following safety procedures and controlling access.
- Schedule appointments and meetings for staff members.
- Assist with administrative tasks such as data entry, filing, scanning, and photocopying.
- Manage office supplies inventory and place orders as needed.
- Coordinate with other departments to ensure smooth communication and operations.
- Assist with special projects and tasks as assigned by management.
- Provide administrative support to executives and other team members when necessary.
- Uphold confidentiality of sensitive information and documents.
- Respond to inquiries and provide information to clients, visitors, and staff members.
- Collaborate with colleagues to maintain a positive and productive work environment.
- Follow company policies and procedures at all times.
Requirements :
- Proven experience as a receptionist, administrative assistant, or similar role.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Attention to detail and accuracy in all work.
- Ability to work independently and as part of a team.
- Professional appearance and demeanor.
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
- Familiarity with office equipment such as printers, scanners, and photocopiers.
- Knowledge of basic office management procedures.
