Job Summary :

The Assistant Director is a part of the leadership of the Financial Aid Office. The Assistant Director of Financial Aid assists the Associate Director in the day-to-day operations of the Financial Aid Office.

This role supports the execution of the college’s Title IV programs, state, institutional aid and veteran certifying. The positions also ensures that policies and procedures reflect current Federal / state regulations and institutional policies, are effective, efficient, and student-centered.

This position primarily focuses on the efficient and compliance management of Title IV programs, state and institutional aid but involves all aspects of the Financial Aid Office.

Essential Functions :

  • Perform job duties in accordance with Columbia College’s vision, mission and values, and contributes to the development of the Financial Aid Department.
  • Practice superior customer service.
  • Fulfill additional responsibilities as assigned.
  • Display respect and civility to all constituencies in all communications.
  • Attend work timely and on a regular basis during the established hours of operation; work additional hours as business necessitates.
  • Serves as a member of the Financial Aid Leadership team that sets policy and determines strategic goals. The team monitors and ensures critical timelines are met and / or decisions are made regarding operational issues (, training issues, and any other items that affect the delivery of student aid).
  • Directly supervises portion of Specialist roles within the Financial Aid Office.
  • Works with the leadership team (including Director, Associate Director, and Analysts) to supervise, train, evaluate and provide work direction to assigned specialists.
  • Manages day-to-day task assignments with Associate Director to ensure all FA tasks are completed in timely manner will also ensuring customer service and compliance
  • Serves as an information resource and provides coaching for all specialists and leadership team members to share expertise, guidance, and support in office tasks.
  • Ensures compliance with all Federal Title IV regulations, state rules veteran certifying requirements and institutional policies.
  • Award federal, state, institutional aid and private assistance to students, both need and non-need based, in a fair, effective and equitable manner in compliance with campus, state, and federal guidelines.
  • Remaining up-to-date for changes in regulations as well as interpreting and implementing those regulations within assigned programs.
  • Develops and maintains policies and procedures and communicates changes to financial aid staff and necessary stakeholders.
  • Assists with developing, revising, and updating processes of the Financial Aid Office related to aid administration and with creating and / or editing any required forms and publications.
  • Assess knowledge, performance, and development of financial aid staff.
  • Develop and customize programs to meet employee training needs, identify areas where training is lacking, and develop strategies to enhance staff knowledge of financial aid rules, regulations and policies.
  • Participates in ongoing professional development; encourages the growth of colleagues.
  • Assisting with research projects that contribute to the understanding of Columbia College students.
  • Supports the development of the whole student by providing excellent customer service and resolution of issues through telephone, email, and preparation of written correspondence for financial aid.
  • Completes annual evaluations of specialists as well as regular review of work providing necessary feedback to ensure accuracy of work and positive workplace morale.

Required Core Competencies and Professional Experience :

  • Ability to fluently read, write, and understand the English language.
  • Proficiency with the following, but not limited to : active listening; speaking; writing; critical thinking; judgment and decision making;

monitoring; reading comprehension; time management; coordination; and management of personnel resources.

  • Proficiency for using a variety of computer and technology-related software and equipment, including Microsoft Office products and database systems.
  • Proficiency in using web-based technologies, including database systems.
  • Ability to work independently and in a team environment, with or without direct supervision.
  • Excellent communication, interpersonal, customer service, and organizational skills.
  • Strong communication skills, attention to detail, and strong problem-solving skills are essential.
  • Candidates must demonstrate proficiency with the use of personal computers including Microsoft Office applications, , Word, Power Point, One Note, Publisher, and Visio.
  • Demonstrated leadership and supervisory skills.

Required Core Competencies and Professional Experience :

  • Expertise and demonstrated comprehension of financial aid regulations as well as federal and state packaging methodology.
  • Five to seven years of experience in student financial aid and experience in administering student financial aid programs.
  • Supervisory experience.
