Responsibilities and Accountabilities :

  • Deliver exceptional customer service to candidates, employees, managers, and recruiters with prompt coordination and scheduling of interviews.
  • Adhere to HR Operations Service Level Agreements and Key Performance Indicators, ensuring timely processing of all scheduling requests.
  • Manage complex interview arrangements, including multiple time zones, panel interviews, and process documentation.
  • Schedule and confirm appointments for both internal and external candidates with efficiency and accuracy.
  • Work independently with minimal supervision, showcasing your ability to thrive in a fast-paced, multitasking environment.
  • Support HRSC with service call inquiries or tickets as needed during peak periods.
  • Send out reminders for scheduled meetings and collaborate with recruiters and managers to address any schedule changes or modifications.
  • Guide candidates with information on facilities and travel arrangements, providing a smooth experience throughout the process.
  • Maintain detailed knowledge of the company’s Interview Scheduling procedures and documentation.
  • Handle large volumes of interview scheduling requests with attention to detail and efficiency.
  • Provide clear, sustainable, and innovative solutions to candidates, recruiters, and interviewers.
  • Proactively identify and implement improvements to enhance the candidate, recruiter, and hiring manager experience.
  • Ensure all resolutions and actions align with client policies and agreed processes.

Minimum Required Qualifications :

  • Bilingual in English and Spanish (Robust English and conversational Spanish are a must).
  • 1-2 years’ experience in administration with a strong focus on scheduling.
  • Exceptional MS Office skills, particularly in Outlook.
  • High school diploma required.
  • Customer service focus with a commitment to process improvement.
  • Preferred / Nice to Have Qualifications :

  • Experience in HR or Shared Services operations with exposure to multiple HR areas.
  • Knowledge of case management systems and HR Portal technology.
  • Familiarity with Workday is a plus.
