Executive Administrative Assistant
Under limited supervision, the Executive Administrative Assistant will provide accurate, high level, confidential administrative / management support to the Chief Financial Officer, Budget Director, and Director of State Government Relations and as needed support to other staff in those offices. This position provides assistance to the Commissioner's Office and serves as a point of contact for both external constituents and internal employees on a variety of agency matters.
Responsibilities include but may not be limited to :
- Provide professional executive support and assistance and to manage the daily operations, communications, transactions and schedule of the Chief Financial Officer, Budget Director and Director of State Government Relations.
- Provide administrative support to Executive Office Suite to facilitate the efficient operations as needed and assigned.
- Serve as Technical Service Liaison (TSL) for the Chief Financial Officer, Budget Director and Director of State Government Relations, and back-up support for their teams and the Executive Office Suite to afford efficient daily access to business-critical data and basic communication tools.
- Assist in coordinating and disseminating assignments / projects.
- Maintain SharePoint sites for the respective areas.
- Assist with personnel transactions.
- Coordinate incoming / outgoing communications.
Minimum Qualifications
Development of administrative and programmatic procedures sufficient to provide high-level administrative support to multiple senior managers.Customer service skills sufficient to multi-task, organize, prioritize work, meet demands of workload with interruptions, and to learn and adapt quickly to changing needs, priorities, requirements, and deadlines.Communication skills sufficient to effectively represent the Department of Human Services (DHS) and the Commissioner's Office and to develop and maintain positive internal and external working relationships.Database, documents, and records management skills sufficient to maintain a high level of confidentiality in dealing with information.Preferred Qualifications
SharePoint experience.Experience supporting C-Suite Executives (CEO, CFO, COO, or CIO).General knowledge of DHS and its mission, programs, policies, statutes, rules and regulations; role of counties and county human services agencies; local & state government organizations; and the state budget process.Variety of experiences working effectively with others from different backgrounds and cultures.Additional Requirements
