We are looking for an Executive Assistant to provide comprehensive support to an executive of a dynamic organization. This contract to permanent position requires someone who can act as a trusted gatekeeper and ensure seamless coordination of daily operations. The ideal candidate will thrive in a fast-paced environment while managing schedules, meetings, and other administrative tasks with precision and attention to detail. Responsibilities :
- Coordinate and manage the executive's calendar using Gmail, ensuring timely scheduling and adjustments.
- Organize meetings for leadership staff as needed, including managing logistics and invitations.
- Attend key meetings alongside the executive to take detailed and actionable notes.
- Assist with various human resources projects and initiatives as required.
- Submit expense reports and ensure accurate tracking of reimbursements.
- Prepare presentations and reports using Google Sheets and Google Suite applications.
- Maintain clear and accurate communication across Zoom and other platforms.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries efficiently.
- Proficiency in Gmail and Google Suite, including Google Sheets.
- Experience managing calendars and scheduling appointments effectively.
- Strong administrative skills with attention to detail and organization.
- Ability to create well-structured presentations and reports.
- Familiarity with Zoom and virtual meeting platforms.
- Prior experience in submitting expense reports and tracking budgets.
- Excellent interpersonal communication and the ability to act as a gatekeeper for executive-level staff.
- Proven ability to handle multiple tasks in a fast-paced environment.
