Role of the Position
Administrative Assistant 3 positions in WOCU provide administrative support for select Administrative Services departments. Work tasks require problem solving within the framework of customer need, department service agreements, policies, and guidelines. The volume of support managed by the department requires the position incumbent to track work assignment details, progress, and priority in a shared work queue with two (2) other Administrative Assistant 3 staff members.
Recharge Billing
This position will coordinate the initiation of recharge bill processing, which requires the incumbent to run automated processes in billing software and the University's Financial Management system. When billable transactions result in processing errors, the incumbent will identify / implement corrective action. The incumbent will be required to answer questions and provide direction about billable services, recharge billing, reconciliation, and university accounts / budgeting practices; this includes providing financial reporting and background for budget owners and as part of audits.
Administrative Support
Administrative Assistant 3 positions process travel requests, track department inventory, process procurement requests ranging from office supplies to complex contracts for University Programs for organizations within Administrative Services, monitor / flag compliance concerns, monitor / flag concerns with technology / automations, and prepare reports to summarize financial and statistical information related to budget, accounts, activities, customers, and operational processing.
Tier-2 Help Desk Agent
Administrative Assistant 3 positions serve as backup and escalation for Administrative Assistant 2 positions within the department. As such, the position incumbent will :
Temporarily take on the duties and responsibilities of an Administrative Assistant 2 when work volume, schedules, and / or staffing levels impact the ability to meet department service standards (answer calls as a University Switchboard Operator, Manage Wireless & Call Accounting Requests, etc.)
A successful candidate will be able to :
Understand compliance requirements, cross-department processes, and University budgets
Effectively work as part of a team to share workload and resolve issues, and independently to complete work assignments
Independently investigate problems, identify issues with data, follow organization standards, demonstrate clear and organized communication (written and oral), and build knowledge of systems and processes needed to perform work
Maintain clear recordkeeping, continuous communication with service requestors, and clear communication with partners, vendors, and other University Administrative staff
Troubleshoot financial reconciliation errors from invoices, reports, recharge billing applications, and double-entry bookkeeping financial management systems
Use spreadsheets and financial reports to perform recordkeeping and share information with service partners and department leadership
This position does not supervise lower level staff, but may provide oversight and monitoring of student employees.
Profile of the Department / College
The Work Order Control Unit (WOCU) is an internal services unit responsible for areas of the Administrative Services Support service catalog that do not fall under Project Management or Information Technology. Examples of services managed by WOCU are the UNLV Wireless Program, UNLV Main Line Operators, and Central [Recharge] Billing. The department's primary customers are Delivery Services, Parking & Transportation Services, and Telecommunications.

Minimum Qualifications
Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas : maintenance of complex records and files; public / customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

Salary
Grade 27, Step 1, salary $46,207.44. In accordance with Nevada Administrative Code (NAC) 284.170, initial appointments to classified positions typically begin at Step 1 of the assigned grade. A "Step" refers to the specific rate of pay within a grade, as determined by the Division of Human Resources.
