Library Administrative Specialist II
Job Summary
This position serves as the primary point of contact while providing comprehensive administrative support for library operations including direct assistance to the Executive Director of Library Services as needed.
Duties
- Provides professional and service-oriented telephone reception, including but not limited to sharing information about library services and otherwise directing calls.
- Monitors electronic communications, routing messages and responding to inquiries as appropriate.
- Oversees office supply inventory, places orders as needed and manages annual maintenance agreements for Library equipment.
- Conducts annual inventory of department assets and equipment.
- Organizes office files following established procedures and State Records Retention guidelines.
- Processes procurement documents through University systems for library supplies and equipment.
- Processes and reconciles Pro-card transactions according to institutional policies.
- Manages the initiation and closing of resource requests.
- Records professional development requests to further initiate the process.
- Manages the master key system and room inventory.
- Submits and tracks facility work orders for maintenance and repairs.
- Assists with the planning and execution of library events.
- Creates the monthly departmental newsletter.
- Creates graphic designs for Library events and signage.
- Monitors and updates the library’s digital signage with relevant content.
Knowledge, Skills & Abilities
Strong organizational skills.Effectively communicate with various stakeholders.Knowledge of basic library procedures.Ability to create & design for print and digital artifacts.Minimum Qualifications
Bachelor’s degree or equivalent combination of education and experience.Two years of full-time experience in a related field.Preferred Qualifications
