Position Summary :

The Administrative Assistant plays a key role in ensuring the smooth operation of the workplace by managing office supplies, assisting with event planning, supporting company communications, and maintaining a welcoming environment for staff and visitors. The Administrative Assistant is expected to be proactive, flexible, and approachable, with a focus on supporting team needs and contributing to a positive workplace culture.

Main Responsibilities

  • Restock and refill office supplies, including soap, toilet paper, cutlery, cups, snacks, tea, coffee, and creamer as needed.
  • Assist with ordering food for meetings and coordinating delivery logistics.
  • Support event planning activities, including preparing swag for employees, creating gift bags for customers, and coordinating company-wide meetings.
  • Help with the pickup and drop-off of company vehicles, and assist with vehicle needs such as repairs, maintenance, and windshield replacements.
  • Provide boot vouchers and monitor Personal Protective Equipment (PPE) requests to ensure employee safety.
  • Maintain the cleanliness and organization of common areas throughout the office.
  • Monitor and water office plants to support a welcoming atmosphere.
  • Help prepare documents for distribution to employees
  • Schedule and manage weekly communications, such as birthday messages, meeting reminders, and PPE updates.
  • Help organize and coordinate Share Board activities and related meetings to foster collaboration among staff.
  • Support the creation and distribution of the monthly company newsletter.
  • Provide support to the Executive Assistant with assigned responsibilities
  • Other duties as assigned.

Qualifications

  • Excellent organizational and multitasking skills.
  • Strong communication abilities, both written and verbal.
  • Attention to detail and commitment to maintaining a clean, well-supplied, and welcoming office environment.
  • Ability to coordinate with vendors, service providers, and internal teams.
  • Experience in office administration or a related field preferred.
