About the Role
The Office Manager is responsible for ensuring smooth day-to-day operations across two office locations. This role combines front desk reception duties with comprehensive office management, including facilities coordination, vendor management, and team supervision. The ideal candidate is highly organized, proactive, and skilled at creating a welcoming and efficient work environment.
Key Responsibilities
Reception & Front Desk Duties
- Serve as the first point of contact for visitors and employees at the first office.
- Answer and direct phone calls, manage incoming mail and deliveries.
- Maintain a professional and friendly reception area.
Office Management for Two Locations
Coordinate cleaning services and ensure both offices meet cleanliness standards.Oversee maintenance and utility services, including scheduling repairs and managing service providers.Manage furniture and equipment upkeep, including replacements when necessary.Ensure kitchen areas are stocked with supplies and refreshments.Monitor inventory of office supplies and place orders as needed.Facilities & Vendor Coordination
Liaise with vendors for utilities, maintenance, and office services.Track and manage service contracts and renewals.Team Supervision
Act as supervisor for the second office’s receptionist / office manager, providing guidance and support.Ensure consistent processes and standards across both locations.Qualifications
Proven experience in office management or administrative roles.Strong organizational and multitasking skills.Excellent communication and interpersonal abilities.Ability to manage vendors and negotiate service agreements.Proficiency in Microsoft Office Suite and basic office technology.Benefits
