Position Summary

The Legal Intake Operations Specialist (Client Intake Specialist) is an essential member of the Ellis Porter (EP) team, helping deliver a remarkable immigration experience to our clients worldwide. With strong communication skills and a solutions-oriented approach, you will ensure every client interaction reflects EP's commitment to clarity and exceptional service. This position requires managing a high volume of prospective client data with accuracy and meticulous attention to detail. The role is structured and fast-paced, involving systematic work, adaptation to evolving processes, and consistent performance across multiple case types and attorney teams. Success in this role depends on precise execution, strong organization, and a positive, collaborative attitude.

Schedule and Location

  • Schedule : 8-hour shift with a flexible start time between 8am and 9 : 30am (Est.)
  • Location : This position can be fully remote from any U.S. location, or based in either Troy, MI or Ann Arbor, MI as an in-person or hybrid role. All work must be performed within the United States.

What you'll do

  • Conduct initial client consultations and eligibility screenings via phone, Microsoft Teams, and email, collecting and verifying relevant case information through HubSpot and supporting research tools to determine case eligibility.
  • Maintain accurate, up-to-date client records in HubSpot, logging client feedback and performing regular checks for duplicates and formatting errors to ensure data quality and consistency.
  • Send contracts to eligible clients and ensure timely execution of signed agreements, achieving same-day processing for most cases.
  • Manage communication with prospective and existing clients by handling inquiries and follow-ups promptly, often engaging with more than 200 clients each day.
  • Support multiple attorney teams by coordinating leads, managing calendars, tracking case assignments, and completing post-appointment follow-ups within established deadlines.
  • Assist attorneys in reviewing atypical cases and provide administrative support for case evaluation and consideration.
  • Promote a positive and collaborative team environment through reliable performance and a solutions-focused mindset.
  • Perform additional duties as assigned by management.
  • What skills and experience you'll bring

  • Bachelor's Degree, or equivalent relevant experience.
  • 1+ years of experience in a customer service, administrative, or other public-facing role with emphasis on high levels of service.
  • Proficiency in HubSpot, Microsoft Office, and / or other CRM systems highly preferred.
  • Strong organizational skills and a high level of attention to detail.
  • Excellent communication skills and an infectiously positive attitude.
  • Proficiency in additional languages is valued but not required.
  • Ability to work effectively both with a team and independently.
  • Cultural sensitivity and passion for supporting immigrants and recognizing their valuable contributions to America's economy and culture.
  • Experience working in remote or hybrid environments preferred.
