Pharmacy Administrative Coordinator
Pharmacy Administrative Coordinator provides comprehensive administrative and coordination support to departmental leadership and team members, including primary responsibility in prepping pharmacy appeals and grievances requests. This position ensures efficient daily operations by managing communications, scheduling, document routing, and regulatory correspondence. The coordinator is responsible for tracking departmental activities, supporting special projects, maintaining documentation standards, and ensuring timely follow-up on action items.
Representative duties include :
- Enter and classify incoming requests (e.g., appeals, grievances, authorizations, or administrative forms) with appropriate priority and accuracy.
- Ensure completeness and accuracy of case records in internal databases or electronic systems.
- Track progress and maintain documentation for regulatory compliance and internal audits.
- File, scan, upload, and archive documents according to departmental procedures.
- Send timely notifications, correspondence, and follow-up requests via email, fax, or phone.
- Provide information or redirect inquiries to the appropriate resource.
- Assist in implementing special projects and operational initiatives.
- Coordinate with cross-functional teams to ensure smooth workflow between departments.
- Identify and recommend process improvements to enhance efficiency.
- Maintain the pharmacy calendar, including all regulatory deadlines for DMHC requests, responses, and effectuations.
- Provide administrative support to departmental leaders, including scheduling, meeting logistics, correspondence, and documentation.
- Maintain and monitor shared inboxes, fax queues, and task trackers; distribute communications or documents to the appropriate case or staff member.
- Manage and update department calendars, including regulatory and project deadlines.
- Prepare agendas, take meeting minutes, and follow up on assigned action items.
- Support preparation of reports, presentations, and communications for internal and external stakeholders.
- Provide backup administrative support to other team members or leadership as needed.
- Support event and meeting coordination, including scheduling conference rooms and catering.
- Perform other duties and special projects, as assigned by department leadership.
Salary : $24.00 - $26.00 per hour.

High School Diploma.Three years of experience working in a similar role in the health care industry.Pharmacy Utilization Management experience highly preferred.Intermediate computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc.Must be able to speak, read, write, and understand the primary language(s) used in the workplace.
