Job File Coordinator

Primary Responsibilities
- Job File Coordination - monitoring job file status, maintain job file work in progress, and ensure client requirements are followed
- Job File Documentation - review and validate initial field documentation, create preliminary estimate, perform daily job file coordination and perform job file backup
- Job File Communication and Reporting - complete and review job file documentation for upload and audit process, and perform job close-out
- Invoice / Payments - bill customers in timely manner, process payments, ensure work in progress and accounts receivables spreadsheets are kept accurate, and maintain filing system for all jobs
- Office administrative duties such as preparing email and written correspondence
- Assist other departments, as needed
Position Requirements
2+ year(s) of administrative or office-related experienceExperience with billing, preferredExperience in service industry environment, preferredPossess polite, confident, and excellent customer service skills, including listening and questioning skillsExcellent organizational skills and strong attention to detailCapability to work in a fast-paced, team-oriented office environmentProficient in Microsoft Office (i.e., Outlook, Word, Excel)Ability to learn new software, including Xactimate and proprietary softwareMinimum of HSD / GEDAble to successfully complete a background check subject to applicable lawHours
7 : 30 am - 4 : 00 pm Monday through Friday40 hours / week, flexible to work overtime when requiredCompetitive pay based on experience
