About the Position :
At Eras Women's Health, the Front of House Care Coordinator is the welcoming face and steady heartbeat of our clinic. This role ensures every patient's first impressionand every interaction thereafterreflects our values of integrity, authenticity, and care for the whole woman.
You will warmly greet patients, manage scheduling and communication, verify insurance and benefits, and help initiate billing processes that keep our clinic running smoothly. This is an excellent entry point into women's healthcare operations, with room to grow into roles such as billing and coding specialist or practice management.
Key Responsibilities :
- Welcome every patient with warmth, professionalism, and respectboth in-person and virtually.
- Manage patient check-in / check-out; collect and review forms; ensure all consent, demographics, and intake documents are complete.
- Answer and route calls, messages, and website inquiries with empathy and efficiency.
- Schedule, reschedule, and confirm patient visits for providers, maintaining an organized, up-to-date calendar.
- Ensure the waiting area and telehealth "lobby" are calm, clean, and reflective of the Eras brand and patient experience standards.
- Support the flow of daily operations by coordinating closely with the nurse and provider teams.
- Verify insurance eligibility and benefits ahead of scheduled visits.
- Communicate coverage information, Good Faith Estimates, and self-pay pricing transparently and accurately.
- Assist patients in understanding membership options and payment plans.
- Collaborate with billing staff or the Practice Manager to ensure all patient and payer information is accurate in the EHR system.
- Collect co-pays and balances at check-in / check-out; issue receipts; maintain accurate payment logs.
- Support the billing and coding team by ensuring documentation completeness and flagging any discrepancies.
- Assist in reconciling daily collections and tracking patient balances.
- Learn and support early stages of the billing cycle, including charge capture and denial tracking.
What a Successful Candidate Looks Like :
High school diploma or equivalent required; Associate's or Bachelor's degree in Health Administration, Business, or related field preferred.1+ years in a healthcare front-desk, scheduling, or patient service role preferred.Experience in women's health, primary care, or specialty practice preferred.Familiarity with insurance verification and billing processes is a plus.Prior use of EHR / PM systems such as Elation, Athenahealth, or similar is a plus.Excellent communication, customer service, and interpersonal skills.High attention to detail and organizational accuracy.Comfort working in a fast-paced, customer-centered environment.Proficiency in Google Workspace or Microsoft Office; ability to learn new digital tools quickly.Empathy, composure, and the ability to handle sensitive conversations with compassion.Growth Opportunities :
