Role Overview : This role combines executive-level coordination with partner-facing responsibilities. You will lead calls, manage complex calendars, maintain spreadsheets and reports, book travel, and serve as a day-to-day liaison for Executives and staff.
Key Responsibilities
- Lead recurring calls with internal teams, set agendas, capture notes, and follow through on action items.
- Schedule and coordinate meetings across multiple calendars and time zones, including preparing materials and logistics.
- Maintain spreadsheets and trackers (projects, pipelines, KPIs, action registers), ensuring data accuracy and timely updates.
- Book travel and manage end-to-end itineraries (flights, hotels, ground transport), plus handle expense submissions.
- Prepare weekly status updates and reports for leadership and partners.
- Own document organization and version control for shared folders and templates.
- Assist with special projects and light customer project coordination as needed.
- Administer time-off and PTO tracking; maintain accurate records, handle approvals, and report usage trends.
Qualifications
2–5 years of experience in administrative coordination, operations, or partner / account support.Proficiency with Microsoft Excel or Google Sheets (filters, pivot tables, lookups), plus Outlook / Teams or Gmail / Calendar.Strong written and verbal communication; comfortable facilitating and leading calls.Demonstrated skill in calendar management, meeting logistics, and cross-functional coordination.Experience booking business travel and managing itineraries and expenses.High attention to detail, urgency, and follow-through; able to juggle priorities without dropping the essentials.Bonus Skills
Familiarity with CRM tools (e.g., Salesforce, HubSpot, Connectwise).Familiarity with Accounting tools (e.g., WorkDay, Quickbooks).Experience in technology services, VARs, distributors, or channel / partner ecosystems.Event coordination or webinar support.Compensation & Benefits
