- This position provides high-level administrative and operational support to the Webb County Treasurer and the Treasurer's Office. This position assists in the smooth execution of office functions, assists in financial reporting and departmental coordination, and represents the Treasurer's Office in a professional manner with county officials, employees, vendors, and the public.
Major Duties
Provides direct administrative support to the County Treasurer, including drafting agendas, memorandums, reports, and correspondence.Prepares and compiles documentation for Commissioners Court meetings, including the Treasurer's Monthly Report, financial statements, and supporting records.Coordinates and schedules meetings, trainings, and official events on behalf of the Treasurer.Manages the Treasurer's calendar, daily schedule, and meetings.Provides customer services; answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel; takes messages and makes appointments.Keeps track of all revenue devices in Webb County offices; provides training and support for the use of revenue devices.Prepares daily deposits, cash reports, and assists with payroll and accounts payable processes as needed.Logs checks and wire transfers.Provides notice to stale-dated check recipients as required by the local government code.Updates and maintains financial logs such as Hot Check Logs; assists in releasing checks to respective departments.Assists with tasks from the Accounts Payable and Accounting and Finance divisions as needed.Coordinates and trains personnel in the use of time clocks and in the maintenance of attendance.Handles Open Records Requests, coordinating with the Public Information Officer and legal staff for compliance.Prepares payments for Certificates of Obligation.Coordinates interdepartmental communications, meetings, and projects, ensuring proper follow-up and reporting.Keeps track of CDs for bail bond companies.Performs any other duties as assigned.Supervises assigned part-time staff, interns, and volunteers as directed.Provides Notary Public services as needed, upon obtaining and maintaining commission status.Knowledge, Skills, and Abilities
Knowledge of modern office practices and procedures.Knowledge of county and departmental policies and procedures.Proficiency in Microsoft Office Suite, financial software (New World), and agenda preparation software (Agenda Quick).Strong organizational, leadership, and time-management skills.Skill in the use of such office equipment such as a computer, scanner, fax machine, copier, and cash register.Skill in oral and written communication.Familiarity with county financial operations, reporting, payroll, accounts payable, and revenue tracking.Ability to communicate orally and in writing in the English language and orally in the Spanish language.Ability to establish and maintain effective working relationships with elected officials, department heads, employees, vendors, and the public.Sound judgment, discretion, and professionalism in handling confidential and sensitive matters.Minimum Qualifications
Must have a high school diploma or GED from an accredited institution.Must have at least three (3) years of administrative or executive assistant experience, preferably in a governmental or financial setting.Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the duties of the job.Supplemental Information

Must possess a valid and current Texas driver's license.The Webb County Drug and Alcohol Policy applies to this position. Pre-employment drug / alcohol testing, a Motor Vehicle Record (MVR) check, and a criminal background check are required.This position is not covered under Civil Service; however, all other Webb County policies apply.
