Job description

Job Purpose

Under minimal supervision, the Controller is responsible for ensuring all financial reporting and record-keeping functions, including payroll, accounts payable, accounts receivable, cash receipts, gift recording, fixed assets, inventory, general ledger maintenance, endowment and investment accounting and special project accounting are completed accurately and timely. Maintains the system of internal controls and ensures that all processes and procedures are documented and consistently followed.

Job Duties And Responsibilities

  • Supervises accounting staff and performs quality reviews of all work conducted in the Finance Department to ensure accuracy. Provides ongoing staff development through periodic performance feedback and training. Adequately cross trains staff to ensure proper coverage of all critical functions at all times. Ensures a positive, team-oriented approach with a commitment to quality customer service.
  • Responsible for ensuring preparation of accurate and timely financial reports as required for Management, the Boards of the Association and the Endowment Foundation, volunteer organizations and other third-party constituents such as institutional donors. Assists the CFO by serving as secondary financial staff liaison to relevant Board committees, including assisting in defining meeting agendas and providing appropriate reports and analyses.
  • Reviews all financial reports submitted as part of grant applications, grant reporting packages, surveys, or governmental reports prior to CFO review. Responsible for financial monitoring of and internal controls over all endowed funds, gift funds and restricted contributions, including federal and state grants, ensuring that all applicable legal and accounting obligations are followed.
  • Works with the senior management team to ensure maximum participation in the budget development and implementation process. Conducts monthly analytical reviews of budget variances and reviews adequacy of financial projections with senior management.
  • Oversees daily cash flow monitoring and projections, including timely deposit of all receipts. Assists CFO with operating and endowment cash flow management.
  • Assures that all short- and long-term debt documents are in proper order and that the organization is in compliance with all debt terms, covenants and related tax regulations.
  • Responsible for monthly, quarterly and year-end closes in accordance with GAAP and for drafting GAAP consolidated financial statements for CFO review. Serves as primary point of contact during annual audit, ensuring a smooth audit with a clean audit opinion. Assures accuracy and timeliness of all general ledger activity, including reconciliation of the general ledger to subsidiary ledgers or systems and review of general ledger activity to ensure that any differences are properly identified and corrected.
  • Reviews retirement plan financial statements prepared by outside auditors and facilitates annual audits under minimal supervision.
  • Maintains the system of internal controls and payroll and benefit fulfillment by monitoring compliance with organizational, collective bargaining agreement, local, state and federal policies and procedures. Supervises an annual fraud risk assessment.
  • Manages and coordinates other outside audit and compliance activities including, but not limited to Board of Equalization (sales and use tax), IRS, Franchise Tax Board, EDD, Office of the Assessor-Recorder, various unions and insurance companies. Supervises preparation of annual and quarterly tax filings.
  • Assists CFO with continuous improvement in and documentation of policies and procedures and internal controls. Prepares internal guidance and educational materials for communicating financial policies and procedures throughout the Ballet to ensure consistent application. Conducts or supervises periodic training sessions for full staff and new hires in relevant finance policies and procedures.
  • Assists in the identification and implementation of value-additive processes and systems to optimize the efficiency and minimize the rework of the accounting and payroll activities.
  • Performs other duties as required or assigned by CFO, including special projects as needed.

  • Bachelor's Degree in Accounting, Finance, or Business Administration
  • MBA preferred
  • CPA designation or equivalent experience required
  • Years And Type Of Related Experience Required

  • 5 years public accounting experience, plus 3 to 5 years experience in a finance operations role; 3 years supervisory experience
  • Deep knowledge of unique financial accounting and reporting requirements of non-profit performing arts organizations, including appropriate internal control systems.
  • Familiarity with Sage Intacct
  • Familiarity with Tessitura donor and patron management application
  • Familiarity with Microsoft Excel, Word, Outlook, PowerPoint and POS
  • Demonstrable commitment to the Ballet's mission
