Facilities Coordinator

Position Title : Facilities Coordinator

Shifts : Monday - Friday, 8 AM - 6 PM, occasional weekends

Salary : $55,000 - $60,000

Pay Grade : 11

Other Forms of Compensation : Bonus

This self-performance model creates a consistent hospitality experience for clients, resulting in higher engagement and productivity from their employees. ESFM's clients include many household names from the life sciences, technology, oil & gas and manufacturing markets.

Job Summary

As a Facilities Coordinator II, you will provide excellent customer service in the management of facilities for our clients.

Essential Duties and Responsibilities :

  • Provide comprehensive administrative assistance to the Site Operations Team, including Workplace Services and Planning, Hard Services, Gaithersburg SHE (Safety, Health, and Environment), and Site Engagement etc.
  • Arrange and reserve conference rooms, catering, audio / video and other essential services as needed for meetings.
  • Multi-task effectively in a fast-paced and ever-changing work environment
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Serve as a liaison between the site operations team and internal / external stakeholders.
  • Facilitate effective communication and coordination among team members and departments.
  • Organize and coordinate meetings, including preparing agendas and taking minutes.
  • Implement best practices and innovative solutions to enhance site operations support.
  • Provide administrative support to senior leadership and team, not limited to calendar management and meeting planning.
  • Onboard new site operations team members, ensuring all access requirements are met before the new hire's (FTEs & OSPs) are met prior to their arrival.
  • Facilitate site orientation and tours ensuring new hires have a great experience.
  • Provide any additional tasks as assigned.

Skills Needed :

  • Excellent ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Strong attention to detail and accuracy in documentation and reporting.
  • Exceptional verbal and written communication skills.
  • Ability to effectively communicate with team members, executives, and external stakeholders.
  • Ability to work collaboratively in a team-oriented environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong analytical and problem-solving abilities.
  • Excellent time management skills to handle competing priorities and meet deadlines.
  • Ability to adapt to changing priorities and manage stress in a fast-paced environment.
  • Strong focus on delivering high-quality service to internal and external customers.
  • Ability to address and resolve service-related issues promptly.
  • Willingness to take on new responsibilities and learn new skills.
