Workplace Concierge
As a Workplace Concierge, you will serve as a key point of contact, managing telephone communications and delivering exceptional customer service. This role includes operating the company switchboard, routing calls efficiently, addressing inquiries, and providing administrative and conference services support. Reporting directly to the Client Relations Manager, you will help ensure a smooth, professional, and responsive workplace environment.
Location : Manhattan, NY
Compensation : $25.50 – $26.27 per hour
Schedule : 6 : 30 AM – 7 : 00 PM | Varying 8-hour shifts, Monday through Friday
Key Responsibilities
Switchboard Operations
- Manage incoming and outgoing calls with professionalism and accuracy
- Maintain an up-to-date understanding of staff directories and extensions
- Monitor multiple phone lines to ensure efficient flow of communication
Call Routing & Messaging
Route calls to the appropriate departments or team members with discretionTake and relay accurate messages via email, text, or other approved channelsCustomer Service
Deliver warm, helpful service to all callers and visitorsRespond to general inquiries with accurate informationCall Logging
Record essential call details, including caller information and purposeMaintain organized call logs for future reference and reportingEmergency Response
Follow established protocols during urgent situationsNotify appropriate personnel while maintaining composure and professionalismAdministrative Support
Assist with internal communications and announcementsMaintain accurate and current employee directoriesCoordinate with the receptionist to ensure seamless coverageConference Services
Set up conference rooms, including staging, layout, and AV coordinationOrganize catering for meetings and ensure accurate, timely deliveryMaintain office supply inventory to support operationsTraining & Development
Participate in company training programs, including through the Cornerstone platformDevelop knowledge and skills relevant to the Workplace Concierge roleMailroom & Print Services
Sort, distribute, and process incoming and outgoing mail and packagesRestock mailing and shipping supplies as neededOperate and maintain copiers, printers, and related equipmentHandle print requests (binding, scanning, bulk jobs) with accuracyKeep mailroom and print areas clean, organized, and fully functionalPosition Requirements
High school diploma required; college degree preferredMinimum of 1 year in a customer-facing or administrative roleProficiency in Microsoft Office SuiteStrong communication and interpersonal skillsHigh level of discretion and ability to maintain confidentialityCore Competencies
