Position Summary Information

Primary Purpose

The Finance Specialist II is responsible for supporting the Executive Director of Finance and Administration in providing a wide range of business, budget, and accounting support. This position identifies process improvement opportunities and solves problems by analyzing current processes and requirements, documenting, recommending, and communicating process to stakeholders at School of Health Sciences (SHS).

Essential Functions

  • Develop, maintain, and present comprehensive financial dashboards, financial reports, budget tracking spreadsheets, and analytical reports that provide actionable insights for program managers, program directors, department chairs, senior management, and the Dean.
  • Analyze existing financial processes, identify inefficiencies or risks, and recommend and implement process improvements to optimize budget utilization and financial performance.
  • Support the development of annual and multi-year budget plans, program expansions, and funding proposals, incorporating historical data, strategic initiatives, and projected funding scenarios.
  • Prepare detailed financial reports for various fund types, including restricted, unrestricted, and sponsored funds.
  • Work closely with the Executive Director of Finance and Administration to analyze, reconcile, and track departmental budgets on an ongoing basis including but not limited to monitoring expenditures to prevent budget overruns and support proactive financial management.
  • Conduct detailed reviews of departmental operational budgets and recurring expenses to identify trends, potential cost savings, and efficiency improvements.
  • Identify process improvement opportunities and areas for efficiency gains to optimize budget allocation and financial performance.
  • Collaborate with cross-functional teams to develop financial forecasts and cash flow projections that incorporate diverse funding streams, ensuring sustainable financial planning across SHS.
  • Evaluate complex financial transactions including journal entries, general ledger, budget transfers, account reconciliations, and purchasing activities. Exercise sound judgment to resolve discrepancies and ensure accuracy.
  • Collaborate with accounting teams to ensure timely and accurate close processes including but not limited to reconciliations, accruals, and financial reporting preparation on a monthly, quarterly, and year-end basis.
  • Prepare and review journal entries, reimbursement requests, budget transfers, and payment requests submitted by departments and programs. Ensure completeness, accuracy, and budget availability prior to approval.
  • Partner with program managers and other departments to understand financial needs, provide guidance on budgeting and reporting.
  • Oversee and reconcile monthly ProCard transactions, verifying transactions against receipts and university compliance standards.
  • Efficiently process payment requests for vendors, faculty, staff, and students, ensuring timely disbursement and adherence to university policies and procedures.
  • Prepare forms and service agreements for independent contractors, ensuring all documentation complies with university policies and is properly executed and approved.
  • Monitor compliance with internal controls and requirements, preparing documentation and supporting materials.
  • Perform other duties as assigned.

Minimum Qualifications

  • Bachelor's degree in only Finance or Accounting with 3-5 years of accounting and finance-related experience; OR high school diploma / GED with 6-8 years of progressively responsible accounting and finance-related experience
  • Three (3) years of progressively responsible experience in financial analysis, accounting, or related finance functions.
  • Three (3) years of experience on Excel skills, including financial modeling, pivot tables, and data visualization.
  • One (1) year of demonstrated experience preparing journal entries and managing general ledger activities.
  • Preferred Qualifications

  • Knowledge and ability to independently reach difficult decisions utilizing professional judgment.
  • Excellent oral, written and communication skills, capable of clearly conveying complex financial information to non-financial stakeholders.
  • Exceptional analytical skills with a high level of accuracy and attention to detail.
  • Multitasking skills needed to coordinate and organize multiple complex projects and tasks and the ability to manage competing deadlines.
  • Experience in a highly automated office environment with knowledge of Banner and Cobblestone software.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.
  • Ability to generate financial reports to accommodate a diverse set of needs and users.
  • Strong organizational abilities with the capacity to manage multiple priorities and meet deadlines in a dynamic work environment.
  • Ability to work independently and collaboratively within cross-functional teams.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.

    Work Environment / Work Week / Travel : Work is primarily performed in an office environment. Work performed during normal business hours, infrequently, may require additional time to meet business needs.

    Hiring Range

    $68,640.00 - $73,408.00 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
