General Role Functions
The Administrative Specialist will supervise the daily logistical processes for multiple Sunshine departments. As the Administrative Specialist you will work independently on assigned tasks given by Administrative Manager, Director of Programs or CEO. The Administrative Specialist functions as a role model, adhering to Agency standards of practice for staff, clients, and the public.
Specific Role Functions
- Reviews Daily Reports for Quality Assurance purposes.
- Inspections for Foster Care Group home to ensure quality of care.
- Handle incoming & outgoing phone calls, emails and correspondence
- Assist in front office duties when needed
- Manage and organize office documentation digitally
- Up-keep compliance items
- Working alongside Program Managers to ensure all documents are being received for Intakes, Transfers, and discharges.
- Ensuring all compliance deadlines required by licensing are being met.
- Requesting File information as DCS Case Workers change
- Emailing discharge packets to DCS Case Worker within 15 days of discharge
- Emailing Notice to providers to Mercy Care
- Contacting Mercy Care for insurance ID number and any prior medical / Behavioral Health history
- Additional Leadership Responsibilities :
- Attend agency events as assigned.
- Provide constructive and professional feedback regarding job-related responsibilities, processes, and workflow.
- Any special duties assigned by Office Manager, General Manager, Human Resources Manager, Education and Program Development Manager, Operations Manager, Program Manager, Business Development Manager, Director of Operations, and Chief Executive Officer.
Requirements : Qualifications :
Bachelors Degree RequiredPresents clean and professional appearance.Demonstrates strong professional boundaries and a trauma-informed approach to care for children in need.Must have effective written and verbal communication skills.Must have a valid Arizona driver's license,Clean Driving RecordLevel one fingerprint clearance as required by the Arizona Department of Child SafetyPhysical examination.Maintain current First Aid / CPR.Must meet all agency's contractor and licensing agent requirements for agency personnel.Must be able to work and foster a culturally diverse environment.Continued employment contingent upon satisfactory supervisor’s evaluation, meeting continuing education requirements, and maintaining a satisfactory driving record.
