Executive Enablement
- Maximize the CEO's focus by managing calendars, scheduling meetings, and coordinating travel and logistics with accuracy and foresight.
- Prepare meeting materials, track action items, and ensure follow-through on commitments across the leadership team.
Operational Excellence
Keep the Scottsdale office running smoothly-own vendor relationships, supplies, events, and general facilities needs.Anticipate and proactively resolve operational issues before they impact productivity or momentum.People & HR Support
Support new hire onboarding by coordinating welcome logistics, scheduling meetings, and ensuring a seamless experience.Assist with recruiting coordination, employee documentation, and light data entry in HR systems (e.g., HiBob, Gusto, or ApplicantPro).Help organize team events and company gatherings that reinforce culture and connection.Key Responsibilities
Manage calendars, scheduling, and communications for the CEO and leadership team.Serve as a primary point of contact for internal and external administrative matters.Coordinate travel, company events, and logistics for meetings and offsites.Oversee office supplies, equipment, and vendor relationships to maintain an efficient work environment.Support HR with onboarding tasks, scheduling interviews, and maintaining accurate employee records.Assist with company-wide communications, announcements, and document organization.Uphold confidentiality and professionalism across all matters and interactions.What You Bring
Experience
3+ years of administrative, office management, or executive support experience-preferably in a fast-paced, growing organization.Experience supporting multiple leaders or functions and juggling priorities effectively.Skills
Strong organizational, time management, and communication skills.Proficiency in Microsoft Office Suite and modern productivity tools.Detail-oriented with the ability to manage multiple projects and shifting priorities.Comfortable handling confidential information with discretion and integrity.Personal Attributes
