Summary
We are seeking a highly organized, detail-oriented, and proactive Admin / Office Clerk to join our team. The ideal candidate will be the backbone of our office, ensuring smooth day-to-day operations and providing essential administrative support across various departments. This role requires strong communication skills, proficiency in office software, and a positive, professional demeanor.
Key Responsibilities
The Admin / Office Clerk will be responsible for a wide range of administrative and clerical duties, including :
Office Administration
Manage and maintain organized physical and electronic filing systems (e.g., records, reports, contracts) ensuring data integrity and easy retrieval.
Monitor, order, and maintain inventory of office supplies and ensure office equipment (e.g., copier, printer, fax) is operational.
Assist in maintaining a clean, organized, and professional office environment.
Communication & Reception
Answer and direct phone calls in a professional and courteous manner, taking messages as necessary.
Greet and assist visitors and clients, directing them to the appropriate personnel.
Handle all incoming and outgoing mail, packages, and correspondence.
Draft, proofread, and edit routine memos, letters, reports, and internal communications.
Data & Document Management
Perform accurate and timely data entry into databases, spreadsheets, and other systems.
Assist with photocopying, scanning, and faxing documents.
Compile, sort, and prepare documents for various business transactions and reports.
Scheduling & Support
Assist in scheduling and coordinating meetings and appointments for staff, including managing calendars and booking rooms.
Support staff and other departments with ad-hoc administrative tasks and special projects as required.
Qualifications and Skills
Required
Education : High school diploma or equivalent.
Experience : 1-2 years of proven experience in an administrative, clerical, or office support role.
Technical Proficiency : Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Organizational Skills : Exceptional organizational and time management skills with a strong attention to detail and accuracy.
Communication : Excellent written and verbal communication skills.
Work Ethic : Ability to work independently with minimal supervision and handle multiple tasks simultaneously while meeting deadlines.
Preferred (Optional)
Associate's degree or certification in Office Administration or a related field.
Familiarity with basic bookkeeping or invoicing procedures.
Experience with specific office software or CRM / database systems (e.g., Salesforce, QuickBooks, etc.).
