JOB SUMMARY :
This position is responsible for overall operations of the Specialty Intake Department by managing the Specialty Intake personnel to ensure all information needed to acquire reimbursement for services is obtained at the start of care and ensures all principles of managing Intake are handled appropriately and in accordance with applicable procedures. Additional dimensions include working with process improvement, budgeting and forecasting, collaborating with revenue cycle management, etc. Ensures company’s goals and objectives are aligned with the organization’s broader mission, vision, and driving strategies.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Oversee the intake process by managing eligibility, authorization, changes in orders, negotiated rates, financial obligation documents and all necessary payor information for all services rendered by the company.
- Protect the assets of the organization through effective internal controls, internal auditing and supervision of Specialty Intake Department operations. Resolve discrepancies, concerns, and irregularities.
- Oversee Managers, Supervisors, Leads, and Intake Representatives, ensuring effective performance through proper training, consistent customer service standards, and quality audits. Responsibilities include monitoring departmental workflow, evaluating service quality across communication channels (telephone, fax, email, and internet), and driving improvements in service delivery and outcomes. Collaborate with third party payer administrators, Operations, Clinical, Managed Care, Sales, and other internal and external stakeholders.
- Provide relevant information to Managed Care and Revenue Cycle Management teams regarding contractrelated issues that may impact revenue and / or billing / collections. Notify appropriate personnel of any changes to contract terms or updates to third-party payer guidelines. Manage and ensure intake processes are compliant with ACHC, URAC, and government rules and regulations.

JOB REQUIREMENTS AND QUALIFICATIONS
Education :
Bachelor’s degree in business or related field, or education and experience to equal bachelor’s degree.Experience
Minimum five (5) years’ experience in billing and / or intake management of infusion, nursing or durable medical equipment required.Minimum two (2) years of management experience.Experience of insurance verification, authorization and eligibility process.Intermediate to advanced skills in Microsoft Office including Word, Excel, PowerPoint, Outlook, Teams, and CPR+ software systems.Skills and Competencies :
Knowledge of intake and authorization guidelines, regulations and standards for home infusion and home health required.Strong communication skills to navigate patient specific financial arrangements with external funding resources.Possess and exhibit advanced leadership skills, consulting skills and communication skills (oral, written and presentation) with ability to communicate with all levels of staff and patients.Ability to interact with co-workers, staff members and clients with courteousness, respect, professionalism, and diplomacy in a fast-paced environment in both group settings and one- to-one interactions.Ability to make strategic, operational and administrative decisions in response to emerging conditions and environmental circumstances; innovative and flexible; ability to exercise good, professional judgment and accept responsibility.Ability to work independently, organize workload of self and staff, complete reports / projects per established timelines, delegating work to staff and provide follow-up as needed.What we offer :
