Description :
Under the supervision of the Office Manager and Head of School, the Facilities Manager maintains and improves the school’s facilities to ensure a safe, efficient, and productive learning and working environment. This is a hands-on working manager position, balancing daily maintenance tasks, coordination of vendors, and support of campus operations.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Education : High school diploma or equivalent required; technical certification or associate degree in facilities management, building maintenance, or a related field preferred.
- Experience : Minimum 5 years of experience in general maintenance, construction, or a related trade (electrical, plumbing, carpentry, painting, drywall, etc.); school or institutional experience preferred. Contractor’s license desirable.
- Supervisory Experience : At least 2 years of experience overseeing custodial or maintenance staff or coordinating contractors
- Other Requirements :
- Valid driver’s license and access to a vehicle
- Ability to read and interpret safety, operating, and maintenance documents in English.
- Effective written and verbal communication skills in English.
- Basic computer proficiency, including use of email, text, and Google Suite or similar tools for tracking maintenance requests and updates.
Essential Duties and Responsibilities
The following duties are representative but not exhaustive; additional tasks may be assigned by school administration.
Facilities and Maintenance Operations
Oversee daily operation of campus facilities, including building maintenance, custodial services, and grounds care.Perform minor repairs and maintenance, including light electrical, plumbing, carpentry, and painting tasks.Conduct regular inspections and make repairs of buildings, classrooms, playgrounds, and equipment to ensure safety and functionality.Develop and maintain a Preventive Maintenance (PM) Program, ensuring equipment and systems are serviced and documented regularly.Identify and report major repair needs to administration; assist in coordinating corrective actions with outside vendors.Work Order and Project Management
Review and update the maintenance request log daily, ensuring timely completion and communication with staff.Plan and prioritize maintenance and improvement projects in collaboration with the Office Manager.Oversee procurement of materials and supplies, maintaining cost-effectiveness and proper inventory levels.Coordinate and monitor the work of outside vendors, contractors, and parent volunteers performing service hours.Event and Operational Support
Set up and take down furniture, equipment, and materials for school events, assemblies, and functions.Support logistical needs for special projects, meetings, and after-school programs.Safety and Compliance
Identify and address potential safety hazards; work proactively to prevent future issues.Serve as the School Safety Officer during emergencies and participate in preparedness and response planning.Ensure compliance with all applicable state, federal, and local safety regulations, as well as school policies and procedures.Follow all policies and procedures as outlined in the Hilldale School Employee Manual and Operations Manual.Communication and Leadership
Maintain consistent communication with the Head of School and Office Manager regarding facility needs and operational updates.Supervise and train custodial staff; evaluate performance and promote adherence to safety and quality standards.Bring operational concerns and suggestions directly to the administration and support final administrative decisions.Maintain accurate documentation, including maintenance records, vendor files, and cost reports.Skills and Personal Attributes

Active position requires regular walking, standing, bending, stooping, reaching, and lifting.Must be able to lift and / or move up to 75 pounds and operate power tools safely.Frequent outdoor work; occasional evening or weekend hours may be required for events or emergencies.Requires close, color, and peripheral vision for inspection and repair tasks.Regular travel between school sites or to vendors as needed.ISP Principles
