Administrative Associate II (Hybrid)
Pay : $35.24 / hr
Contract Duration : 6 months
Schedule : Full-time, 40 hours per week
Location : Hybrid in Palo Alto (2–3 days onsite per week, days may vary)
We are seeking an experienced Administrative Associate to provide administrative and program coordination support within a large academic medical department. This role supports a busy team with scheduling, meeting coordination, travel arrangements, reimbursements, budget support, and event planning. Candidates with prior program coordination experience will be strongly prioritized.
Key Responsibilities
- Provide administrative and operational support for departmental leadership and staff.
- Manage complex calendaring, meeting scheduling, and communications.
- Coordinate travel and process travel and expense reimbursements.
- Plan and support conferences, seminars, and events, including vendor coordination and logistics.
- Draft, edit, format, and proofread documents, reports, and presentation materials.
- Create, update, and maintain files, reports, websites, and shared communication materials.
- Process and reconcile financial transactions and assist with budget tracking and resolution of discrepancies.
- Maintain workflow organization and take ownership of assigned tasks.
Requirements
At least 3 years of administrative office experience .Demonstrated experience with calendaring and scheduling meetings .Experience with travel coordination and processing reimbursements .Experience with financial transactions in a business or academic setting.Oracle Financials experience or familiarity with a similar financial system is strongly preferred.Strong organizational skills and attention to detail.Strong verbal and written communication skills.Proficiency with Microsoft Office and standard office software.If this opportunity sounds like a great fit, please contact Marisa Fidone, SF Bay Area Recruiter, at (415) 610-5350 or marisa.fidone@avidtr.com.
